Email management software

Email management software that actually manages the email.

Everything else sorts your inbox and hands it back. AI Emaily reads what came in, writes the replies in the voice you set, and holds them for one click — across Gmail, Outlook, iCloud and any IMAP account. You get your mornings back, not another folder system.

Approve & send Edit

undo · audited · nothing sent without you

Built for people who live in their inbox — founders, agencies and client services, sales, support, anyone writing fifty real replies a week. Not a bulk-email or newsletter sender. Not an archiving or compliance vault. This is the inbox you work in, made to work itself.

See it work

Two minutes of the inbox running itself.

Connecting an account, the morning brief, a reply drafted and approved. No slides — the actual product.

01Why the inbox never shrinks

You don't have an organisation problem. You have a writing problem.

The sorting was never the job. The replying is.

Filters, labels, snoozes, priority inboxes, a folder system you redesign every March — every one of them ends the same way. A tidier pile, still yours to answer.

It's five inboxes, not one.

Work Gmail. The Outlook address the client insists on. iCloud on the phone. The IMAP one on the old domain. Four apps, four sets of rules, and no single place where the day actually lives.

The cost isn't clutter. It's the interruption.

Being pulled back into email a dozen times a day is what turns a 40-hour week into 55. It's also why the message that actually mattered sat there until Monday.

02The difference

Software that manages your email, versus software that manages the email.

One word, and it's the whole category split. Almost every tool in this space is on the left.

03The four kinds

“Email management software” means four different products. Pick the right one.

The term covers tools that barely overlap, which is why comparisons in this category are so confusing. Here's the honest map — including where we don't belong.

Email clients

Outlook, Apple Mail, Thunderbird, Spark

A nicer window onto the same mail. Better keyboard shortcuts, unified accounts, cleaner threads.

Every reply is still typed by you.

Inbox organisers & filters

SaneBox, Clean Email, Gmail's priority inbox

Decides what deserves your attention and hides the rest. Genuinely good at reducing volume.

The mail that survives triage is still 100% your writing time.

Shared inbox & helpdesk platforms

Front, Help Scout, Hiver, Missive

Turns a team address into a queue with assignment, internal notes and SLAs.

Built around a team workflow, priced per seat, and aimed at support — not at your personal mail.

AI email clients

AI Emaily, Shortwave, Superhuman

Drafts the replies, tracks what's waiting, and can act on rules you set.

Most are locked to a single provider. Check that before you commit — it's the difference that bites.

AI Emaily is in the fourth group, with one difference that matters more than any feature list: it isn't built on one provider's API. See how that plays out against Gmail, Outlook, SaneBox, Shortwave and Front.

04How it works

Three steps, and the third one is the point.

01

Connect your inbox — under two minutes

One-click OAuth for Gmail, Outlook and iCloud; presets for any IMAP host. Nothing is migrated and nothing is imported — your mail stays with your provider, and it stays there if you ever leave.

02

Set your voice and your rules — once

Pick a tone, paste a sample of how you actually write, and add profiles for the clients and people who matter. That's the brain it writes from. Then decide what it may handle on its own and what always waits for you.

03

Open your inbox to work already done

A brief of what genuinely needs you, with the replies already drafted underneath it. Approve, edit, or ignore. Nothing leaves your account without you until you say it can.

05A Tuesday

What the day looks like when the software does the writing.

07:10

The brief, before the coffee

Six things happened overnight. Two need a decision from you; the other four already have replies waiting.

09:00

Drafts staged, not sent

Each one reads like you wrote it, because it was written from the voice and the client context you set. Approve, tweak, send.

14:30

The follow-up you'd have forgotten

The quote from Tuesday never got an answer. It's tracked, and the nudge is already drafted for Thursday.

18:45

Closed, from the phone

Three approvals on the walk home. No laptop at nine. The inbox is genuinely finished, not just filed.

06What you get back

The point isn't a tidier inbox. It's the hours.

Your mornings back.

The brief says what needs you and the drafts are already written. Most of the inbox is cleared before the coffee goes cold.

One inbox instead of five.

Every provider in one place, one search across all of it, one set of rules — on the web, on your Mac, and on your phone.

Nothing falls through again.

It tracks the threads still waiting on a reply and stages the follow-up you would have forgotten by Thursday.

Your evenings.

Approve from your phone in a minute, or set a rule and let the routine ones go without you at all.

07Control

Software that can write on your behalf has to earn it.

This is the part most people are right to be nervous about, so it's built as a constraint rather than a setting. More detail on the security page.

You approve every send

In Copilot mode nothing leaves your account without a click from you. Autopilot is opt-in and only ever acts inside the rules you write.

Undo and an audit trail

Every action the agent takes is reversible and recorded. You can always see what it did, when, and why.

Never trained on your mail

Zero-retention with the model providers, and your email is never used as training data. Bring your own key on the higher plans if you'd rather it never touch ours.

Your mail stays with your provider

We connect with minimum OAuth scopes. Nothing is migrated into a walled garden, so there's nothing to extract if you leave.

09Before you buy anything

Six questions worth asking any email management tool — including this one.

01

Does it work with every mailbox you actually have?

This is the one that bites. Most AI email tools are Gmail-only. If one of your addresses is Outlook or iCloud, a Gmail-only tool solves 60% of your problem and you keep the second app forever.

02

Does it write, or only sort?

Sorting reduces the pile. Writing reduces the work. Ask which one the demo is actually showing you.

03

Who approves the send?

Anything that can send on your behalf needs an explicit approval step, an undo, and a log. If a tool can't tell you exactly what it sent and when, that's your answer.

04

What is it trained on?

Ask directly whether your mail is used as training data and whether the model provider retains it. The answer should be no to both, in writing.

05

How long until it's useful?

If setup means migrating mail or a mandatory onboarding call, that's a signal about the product. Connecting an account should take minutes.

06

What does it cost when you're past the trial?

Per-seat pricing built for support teams gets expensive fast for one person with four addresses. Check the price of the plan you'd actually be on in month six.

10Questions

The things people ask first.

Software that reduces the time your inbox costs you. In practice the category covers four very different things: email clients that give you a better window onto the same mail, organisers that filter and prioritise it, shared-inbox platforms that turn a team address into a support queue, and AI email clients that draft the replies for you.

They are not interchangeable. A filter reduces how much you read; only the last group reduces how much you write. Which one you need depends entirely on where your hours actually go.
