If every meeting invite you create in Outlook automatically comes with a Teams link — even for a coffee with a colleague in the next room — you have run into the 'Add online meeting to all meetings' setting. Microsoft turned it on by default when it pushed Teams as the standard conferencing platform for Microsoft 365. It is a sensible default for distributed teams, but it creates friction the moment you send an invite for an in-person meeting, a phone call, or any event where a video link is unnecessary or confusing to recipients.

The fix is a single toggle in your calendar settings. The tricky part is that the toggle lives in a different place depending on which version of Outlook you are using — New Outlook for Windows, Classic Outlook, Outlook for Mac, the web app, or mobile — and in some organisations an IT admin policy locks the setting entirely, leaving the toggle greyed out no matter what you do. This guide covers every Outlook platform, explains the admin-policy situation clearly, and tells you what to do when the standard fix does not help.

The short answer#

Open your Outlook calendar settings and look for 'Add online meeting to all meetings.' Turn it off. That removes the automatic Teams link from every new event you create going forward. Existing calendar events are not changed.

If the toggle is not there, or it is greyed out, your organisation's IT administrator has enforced the setting at the tenant level, and the user-level fix will not work. In that case you need to contact IT and ask them to adjust the meeting policy. Before you start: which Outlook version are you on?#

Microsoft currently ships several distinct versions of Outlook, and the path to this setting is different in each. The version you are on determines where you look. The three most common are: New Outlook for Windows (the default on Windows 11 since late 2024, identified by a small 'New Outlook' label in the top-right corner), Classic Outlook for Windows (the older full-featured desktop client, also referred to as Outlook 2019, 2021, or Microsoft 365 Apps), and Outlook on the Web (the browser-based version at outlook.live.com or outlook.office.com, sometimes called OWA).

Outlook for Mac is a separate app with its own Preferences panel. Outlook on iOS and Android does not expose a global toggle for this setting — you control it per event in the create screen, or you change the default by logging into the web or desktop version and changing it there, which then applies across your account.

How to tell which Outlook you have on Windows

Open Outlook and look at the top-right corner. If you see 'New Outlook' in small text — or a toggle offering to switch back to classic — you are on New Outlook. If you see the full ribbon with a File tab on the far left and no such label, you are on Classic Outlook. The steps below are labelled for each.

How to stop Teams from being added to every meeting#

Follow the steps for your version. The change only affects meetings you create after saving the setting — past events are untouched.

    New Outlook for Windows

    Click the Settings gear in the top-right corner. Select Calendar from the left panel. Click Events and invitations. Find the toggle labelled 'Add online meeting to all meetings' and switch it off. Close Settings. New invites you create will no longer include a Teams link by default.

    Click File in the top-left ribbon. Click Options. Select Calendar from the left menu. Scroll to the Calendar options section. Uncheck the box labelled 'Add online meeting to all meetings.' Click OK. The change takes effect immediately for new events.

    Outlook on the Web (OWA)

    Click the Settings gear in the top-right corner. At the bottom of the Quick settings panel, click 'View all Outlook settings.' Select Calendar, then click Events and invitations. Toggle off 'Add online meeting to all meetings' and save. The change applies to invites you create in the browser going forward.

    Outlook for Mac

    Open the Outlook menu in the Mac menu bar and click Preferences. Select Calendar. Look for 'Add Microsoft Teams meeting to all events' or 'Add online meeting to all events' and uncheck it. Close Preferences. The setting applies to new events you create in the Mac app.

    Outlook on iOS or Android

    There is no global toggle in the mobile apps. When you create a new event on mobile, look for a Teams meeting or online meeting toggle in the event creation screen and leave it off for that specific event. To change the default across your account, log in on the web version and change the setting there — it then applies wherever that account is signed in.

What the change does and does not do#

Turning off 'Add online meeting to all meetings' removes the automatic Teams link from every new event you create. It does not remove Teams links from existing calendar events — any meeting already sent with a link keeps it. It also does not prevent you from adding a Teams link manually to a specific event: when you create a new invite, you can still click the Teams meeting or online meeting button in the invite form to include a link just for that occasion.

The setting is per account, not per device. If you change it in Outlook on the Web, it typically syncs to New Outlook for Windows and the mobile apps tied to that account. If you change it only in Classic Outlook for Windows, the change may stay local to that machine depending on how your organisation syncs preferences. The safest approach is to change it in OWA, then check that the toggle reflects your preference there before assuming it has applied everywhere.

What to do when the toggle is greyed out or missing#

If you open Calendar settings and the toggle is greyed out, or the option does not appear at all, your organisation has enforced a tenant-wide policy that overrides individual user settings. This is common in larger companies and in any Microsoft 365 tenant where the Teams administrator has configured a meeting policy that requires online meeting details on all calendar events.

You cannot change a policy-enforced setting yourself. Your options are: contact your IT helpdesk or Teams administrator and ask them to adjust the meeting policy so users can control the setting, or accept the default and add a clear note in the meeting body stating whether attendance is in-person or remote. Admins manage this in the Microsoft Teams admin center under Meetings → Meeting policies, using the 'AllowOutlookAddIn' setting or related online meeting configuration options. The equivalent PowerShell command is Set-CsTeamsMeetingPolicy with the relevant parameters.

Greyed-out toggle means admin policy — the user fix will not work

If the toggle cannot be changed, it is locked by your tenant administrator, not by a bug or a version mismatch. No amount of reinstalling Outlook or switching between app versions will help. Raise a request with IT or your Teams administrator to update the meeting policy at the organisation level.
