Adding a shared mailbox in Outlook mobile is mostly an admin job, not a user one. When an IT administrator grants Full Access with auto-mapping enabled — the Exchange Online default — the shared mailbox appears in the Outlook iOS and Android apps automatically after the next sync. What users experience as a setup problem is almost always a permissions gap or an auto-mapping flag the admin turned off.

The short answer#
To add and send from a shared mailbox in Outlook mobile: the Exchange admin must grant your account Full Access to the shared mailbox with auto-mapping enabled. Once that's done, the shared mailbox appears automatically in the folder list of the Outlook app on iOS and Android — typically within 30 to 60 minutes of the permission being applied, or after you force a re-sync by resetting the account in Settings.
To send as the shared mailbox rather than just read from it, the admin must separately grant Send As or Send On Behalf Of permission in the Exchange admin centre. When composing a message, tap the From field to switch to the shared address. If the From field doesn't appear or the shared address isn't listed, the send permission hasn't been assigned.
There is no widely supported manual account-addition flow for shared mailboxes in Outlook mobile. Unlike desktop Outlook, you cannot open a shared mailbox by entering its address and credentials — it has no credentials of its own. Auto-mapping through Exchange is the designed path, and most troubleshooting leads straight back to the admin console.
Before you start: what the admin must configure#
A shared mailbox in Microsoft 365 is a special mailbox type with no login credentials. Access is granted by assigning permissions to individual user accounts in the Exchange admin centre or via PowerShell. Three permissions are relevant, and they do different things.

Steps for iOS: Outlook on iPhone and iPad#
On iOS, Outlook reflects auto-mapped shared mailboxes in the folder panel on the left. You do not add them as separate accounts — they appear under your existing Microsoft 365 account. The steps below assume the admin has completed the permission setup.

Force a sync after the admin grants permissions
Close and fully reopen the Outlook app. Auto-mapped shared mailboxes can take up to 60 minutes to propagate across Exchange Online. If the mailbox still doesn't appear, go to Settings, tap your account name, then tap Reset Account. This clears the local cache and pulls fresh Exchange data.

Locate the shared mailbox in the folder list
Tap the hamburger menu at the top left to open the folder panel. Scroll down past your primary account's folders. Shared mailboxes appear as a separate expandable entry below your personal folders, labelled with the shared mailbox display name. Tap the name to expand its folder tree and access Inbox, Sent Items, and other folders.

Send from the shared mailbox by tapping the From field
Compose a new message. Below the To field, tap the From line. A picker shows your personal address plus any shared mailbox for which you have Send As or Send On Behalf Of permission. Tap the shared address to switch. If the address isn't listed, the send permission hasn't been granted.

Reply as the shared mailbox by opening the message from inside it
Navigate into the shared mailbox folder — not from the unified inbox view — open the thread, and tap Reply. The From defaults to the shared address when you reply from within that mailbox's folder. Replying from the unified inbox view defaults to your personal address regardless of which mailbox the message lives in, so always check the From field before sending.
Steps for Android: Outlook on Android phones and tablets#
The Android app follows the same auto-mapping pattern as iOS. The folder panel layout differs in detail, but the underlying logic is identical: auto-mapped mailboxes from Exchange appear automatically. There is no credential-based manual-add flow on Android either.

Tap your profile photo or initials at the top left. Your primary Microsoft 365 account is shown at the top of the panel.

Below your primary account's folder list, shared mailboxes assigned via Full Access and auto-mapping appear as separate expandable entries. Tap the shared mailbox name to expand its folder tree.

Tap the compose icon to start a new message. Tap the From line to open the address picker and select the shared mailbox address. If the shared address is absent, Send As permission has not been granted for your account.

Reply from within the shared mailbox folder
Navigate into the shared mailbox Inbox — not through the unified inbox view — and tap Reply on a thread. The app defaults the From to the shared address in this context. Unified inbox replies default to your primary account address regardless of folder, so navigate to the mailbox folder first when you need the reply to come from the shared address.

Tap your profile photo, tap the settings gear, tap the account name, then tap Reset Account. This clears the local profile cache and pulls current Exchange data, including any newly auto-mapped shared mailboxes.
