Add Multiple Email Accounts to Outlook Mobile

The short answer
Tap the profile icon in the Outlook mobile app, then Add Email Account, and choose the account type. Repeat for each address. To view them together, enable Combined Inbox from the sidebar — this stacks all accounts into one feed. Outlook supports Microsoft 365, Google, iCloud, Yahoo, and IMAP accounts on both iOS and Android.

The Outlook mobile app can hold multiple email accounts from different providers in one place, but the setup involves decisions that are not obvious on first run: how the combined inbox toggles per account, which account types carry full feature parity and which do not, and what controls the address you send from when composing in a shared view. This guide covers how to add multiple accounts to Outlook mobile on iOS and Android, how to enable the combined inbox, and what to do when an account type behaves differently from what you expect.
The steps and feature comparisons in this post follow Microsoft's published Outlook mobile documentation. For the most current interface details, the Microsoft Outlook help center is the primary reference.
The short answer#
Open the Outlook app, tap the profile icon in the top-left corner, and tap Add Email Account. Choose your provider — Microsoft, Google, Yahoo, iCloud, or IMAP — sign in, and grant the required permissions. Repeat for each additional address. Once you have more than one account connected, a combined inbox option appears in the left sidebar.
On iOS the combined view shows as All Mailboxes near the top of the folder list. On Android it appears as a stacked-inbox icon at the top of the sidebar. Tapping it switches between a per-account view and a unified feed of all your connected inboxes. You can return to individual account views at any time from the same sidebar.
Before you start#
Have the following ready before opening the Outlook account setup screen.
- The email address and password for each account. For iCloud with Advanced Data Protection and for Google accounts accessed through a non-Google app, generate an app-specific password from your provider's account security settings rather than using your main account password.
- An up-to-date version of the Outlook app. Multi-account features and combined inbox controls change between releases. Open the App Store (iOS) or Google Play (Android) and install any pending update before starting.
- For Microsoft 365 or Exchange accounts managed by a company: IT policies may require device enrollment before an account connects. If the setup screen prompts for device management approval, confirm with your IT team before proceeding.
- For Gmail: Outlook uses OAuth to connect Google accounts. The sign-in opens a Google authentication page inside the app — enter your credentials there rather than directly in any Outlook password field.
How to add multiple accounts to Outlook mobile#
- 1
Open the app and tap your profile icon
On iOS the profile avatar sits in the top-left corner of the inbox view. On Android you may see a hamburger icon there instead; tap it and your account avatar appears at the top of the slide-out panel. Tap the avatar to open the account switcher.
- 2
Tap Add Email Account
Below the existing account icons, tap Add Email Account (iOS) or the plus icon at the bottom of the account list (Android). The screen that opens lets you type an email address or select a provider directly from a list.
- 3
Enter your email address or choose a provider
Type the email address you want to add. Outlook auto-detects Microsoft 365, Outlook.com, Hotmail, and Live accounts and routes them through its native protocol. For Google, Yahoo, iCloud, and IMAP accounts, Outlook prompts you to confirm the account type if it cannot determine it from the domain alone.
- 4
Sign in through the provider's authentication screen
Microsoft accounts open a Microsoft sign-in page. Google opens a Google OAuth screen. iCloud opens an Apple sign-in form. IMAP accounts show fields where you enter the incoming server address, port, security type, and credentials. Complete the authentication for your provider and tap the continue or sign-in button.
- 5
Grant the permissions Outlook requests
Google accounts require you to approve the permissions Outlook needs — typically read, send, and manage emails and contacts. Declining any permission stops that function for the account. On iOS, the app may also ask whether to allow notifications from the newly added account; enabling notifications here is the easiest way to get push alerts working.
- 6
Repeat for each additional account
Once the first account is confirmed in the sidebar, return to the profile icon and tap Add Email Account again. Microsoft does not document a hard account cap for Outlook mobile. Most users run between two and eight accounts without issues; each appears as a separate icon and folder tree in the sidebar.
Enable the combined inbox and set the default send-from account#
Once two or more accounts are connected, Outlook adds a combined inbox to the sidebar automatically. On iOS, open the left panel and look for All Mailboxes or a stacked-inbox icon above your first account's folders. Tap it to open a feed that merges incoming mail from all accounts. On Android, the combined inbox appears as an icon at the very top of the left panel — tap it to switch between the unified view and individual account folders.
The default send-from account is whichever account is active when you tap Compose. In a combined inbox view, Outlook sends from the account it treats as primary, which is usually the first one added. To change the default, open Settings in the Outlook app, tap the account you want as the default, and look for a Set as Default or Primary Account toggle. You can also change the From address on any individual compose window by tapping the From field directly before sending.

What each account type can do in Outlook mobile#
Not all connected accounts get the same features. Microsoft 365 and Outlook.com accounts use Outlook's native protocol and unlock the full feature set. Google, iCloud, Yahoo, and IMAP accounts connect via OAuth or IMAP and receive a reduced feature set by comparison. This is a protocol constraint, not a configuration option.
The table below shows the main differences. These reflect Outlook mobile behavior as documented by Microsoft as of July 2026; verify current behavior on the Microsoft support site if a specific feature matters to your setup.

| Feature | Microsoft 365 / Outlook.com | Gmail (Google) | iCloud | IMAP |
|---|---|---|---|---|
| Focused Inbox | Yes — AI-sorted priority tab | No — not available | No | No |
| Calendar sync | Full — meetings, invites, scheduling | Google Calendar synced | iCloud Calendar synced | None |
| Contacts sync | Yes — Exchange contacts | Google Contacts | iCloud Contacts | None |
| Labels / Folders | Outlook folders | Folders only — Gmail labels do not transfer | iCloud folders | IMAP folders |
| Push notifications | Full push | Full push via OAuth | Push via IMAP IDLE | Depends on server |
| S/MIME encryption | Yes | No | No | No |
| Sync depth | Configurable (1 week to unlimited) | Fixed (30 days typical) | Fixed | Configurable to server limits |
| Outlook add-ins | Full add-in support | Not available | Not available | Not available |
What to do when it doesn't work#
Most add-account failures in Outlook mobile fall into a small set of causes. The table below maps common symptoms to fixes. If you see a specific server name or error code in the failure message, copy it and search the Microsoft support site — some IMAP configurations require non-default port or security settings that are not surfaced in the standard setup flow.
| Symptom | Likely cause | Fix |
|---|---|---|
| Gmail added but no messages load | Permissions not fully granted during OAuth | Remove the account in Outlook Settings, re-add it, and accept all permission prompts including calendar and contacts. |
| Outlook asks for a server address for a well-known provider | The domain is a custom Google Workspace or Microsoft 365 domain and Outlook cannot auto-detect the protocol | Choose Google or IMAP manually from the account type list and enter the server settings your provider documents. |
| Account connects but then shows Unable to sync | For Microsoft 365: a conditional access or MDM policy is blocking the Outlook mobile app | Contact your IT admin. The account may require device enrollment or the app may not be on the organisation's approved list. |
| iCloud account fails with Authentication failed | Main Apple ID password used instead of an app-specific password | Sign in to appleid.apple.com, generate an app-specific password for Outlook, and use that password when Outlook prompts for credentials. |
| IMAP account connects but older messages are missing | Sync depth is set to a short window or specific folders are not subscribed | Go to Settings, tap the IMAP account, increase the sync period, and verify that the folders you need are included in the sync. |
| Push notifications stop for a second account | Notification permissions are managed per account on iOS | Open iOS Settings, then Notifications, then Outlook, and confirm alerts are enabled. Inside Outlook, check per-account notification settings under Settings, then Notifications. |
| Focused Inbox is missing for a Gmail or iCloud account | Focused Inbox only works for Microsoft 365 and Outlook.com accounts | This is expected behavior. For non-Microsoft accounts, use Outlook rules or the provider's own filtering to replicate priority sorting. |
A faster way to manage multiple inboxes#
The setup above works. Every account connects, the combined inbox merges them into one feed, and you can manage everything from the Outlook app. The ongoing friction is that each non-Microsoft account brings its own capability gaps — no Focused Inbox for Gmail, no labels, no add-ins — so you end up triaging manually across accounts that behave differently from one another.
AI Emaily connects Gmail, Outlook, and IMAP accounts in one client and adds an AI layer that triages across all of them: sorting by priority, drafting replies in your voice, and letting you approve or send in one step. The triage is not protocol-specific — it applies the same rules to a Gmail account and a Microsoft 365 account without a feature gap between them. We build AI Emaily. It comes with a 7-day free trial on the Pro and Autopilot plans — explore how it handles a multi-account inbox on the homepage, or see how plans are structured on the pricing page.
