Choosing the best email client for Exchange accounts is simple when your mailbox lives in Microsoft 365, and genuinely awkward when it does not. On-premises and hybrid Exchange are the hard cases. Whether a client can connect at all comes down to one thing: which protocols your Exchange server exposes.
Most modern email apps — including the new wave of AI clients — only speak two languages: OAuth to a cloud provider, or plain IMAP. A legacy on-premises Exchange server with IMAP switched off is invisible to them. The clients that reach it use EWS, MAPI or Exchange ActiveSync instead.
This guide ranks the clients that actually connect to on-prem and hybrid Exchange, explains the protocols that decide it, and is honest about where each one — including ours — stops. Confirm protocol availability with your own Exchange admin before you commit.
The short answer#
For on-premises or hybrid Exchange, classic Outlook is still the safest pick. It speaks MAPI over HTTP, its richest protocol, and can fall back to EWS, so it connects to every Exchange deployment with the full feature set intact.
If you want an alternative, eM Client and Thunderbird 145 or later both connect over EWS, and Apple Mail connects over EWS on a Mac and Exchange ActiveSync on an iPhone. IMAP-only and OAuth-only apps — most AI email tools, and AI Emaily among them — connect only when your admin has enabled those protocols. On a locked-down legacy server, they cannot connect at all.

How we compared: the protocols decide everything#
We did not rank these clients on looks or price. For Exchange, the first question that matters is whether the client can connect at all — and that is a protocol question, not a feature question.
Exchange can expose several protocols at once, and an administrator chooses which to publish. Here is what each one does and which clients rely on it. After connectivity, we weighed how much of Exchange each client actually supports — mail only, or mail plus calendar and contacts — along with the platforms it runs on.

Which clients connect to Exchange: the comparison#
The table below is sorted by how well each client handles the hard cases — on-premises and hybrid — not by our preference. Read the on-prem column first.

How each client reaches the mailbox#
Every client in the table is talking to the same Exchange mailbox — they just take different roads to get there. Classic Outlook drives down MAPI, EWS clients take the EWS lane, phones use ActiveSync, and cloud-first apps rely on IMAP or Microsoft Graph.
That is why the answer to 'which client should I use' is really 'which road did my admin leave open.' Close a lane on the server and the clients that only know that road drop off the map, no matter how good they are.

Classic Outlook — the native Exchange client#
Classic Outlook — the desktop app that has shipped with Office for years, now labelled 'Outlook (classic)' on Windows — is the reference client for Exchange. It connects over MAPI over HTTP, its fastest and richest protocol, and can fall back to EWS. That means it works against on-premises Exchange, hybrid deployments and Exchange Online alike, with full support for mail, calendar, contacts, tasks and shared mailboxes.
On the Mac, Outlook connects to Exchange over EWS and, for online mailboxes, Microsoft's own sync service. For a pure on-premises or hybrid setup, classic Outlook is the option Microsoft itself points administrators to, and the one most likely to just work once Autodiscover is configured.
It comes as part of a Microsoft 365 subscription or a perpetual Office license. The trade-off is that it is a heavier, more complex application than the leaner clients below, and Microsoft is steering people toward the new Outlook — which, as covered further down, does not yet handle on-prem.
eM Client — the full-featured third-party option#
eM Client is a desktop client for Windows and Mac that connects to Exchange over EWS, syncing mail, calendar, contacts, tasks and notes rather than mail alone. That makes it one of the closest third-party stand-ins for Outlook against an Exchange server.
For a hybrid or online mailbox, automatic setup usually finds the right server. For a pure on-premises server, some users report that eM Client tries the Microsoft 365 endpoint first, so you may need to enter the EWS URL — typically in the form https://your-server/EWS/Exchange.asmx — by hand. Your admin can supply it.
eM Client's packaging is a free tier for personal, non-commercial use, with a paid Pro license for business use and extra features; verify the current terms on eM Client's site, since the free-version rules have changed over time. Once the EWS retirement lands in Exchange Online, eM Client's online connections will depend on its Microsoft Graph support — on-premises EWS is unaffected.
Thunderbird 145+ — free, open-source, now speaks EWS#
Thunderbird spent years unable to talk to Exchange without a paid add-on such as Owl or the TbSync/EAS combination. That changed with Thunderbird 145, released on 18 November 2025, which added native Exchange support over EWS built directly into the app.
As of that release the native EWS support covers email only — folder listing, sending, replying, moving and attachments — with calendar and address-book sync planned for later versions. If you need Exchange calendar and contacts in Thunderbird today, the older add-on route still fills that gap.
Thunderbird is free and open-source, runs on Windows, macOS and Linux, and is the only client here with a genuine Linux build — which matters if your Exchange users are on Linux desktops. The Thunderbird team is also building Microsoft Graph support, specifically so it keeps working with Exchange Online after EWS is retired there. Confirm the current feature set on the Thunderbird site before you rely on it.
Apple Mail — built in on Mac and iPhone#
Apple Mail is built into macOS, iOS and iPadOS, so for people already on Apple hardware it is the zero-install option. On a Mac, Mail connects to Exchange over EWS using Autodiscover; on an iPhone or iPad, it connects over Exchange ActiveSync. Both look up your server automatically from your email address and password when Autodiscover is published.
For an on-premises server, that Autodiscover record and the EWS or ActiveSync endpoint have to be reachable from outside your network. If they are, adding the account is as simple as choosing Exchange in Internet Accounts and signing in. If Autodiscover is not set up, you can enter the internal and external EWS URLs manually.
Apple Mail gives you mail, calendar and contacts across the Apple ecosystem at no extra cost, since it ships with the operating system. It is less configurable than Outlook or eM Client, but for standard Exchange mailboxes on Apple devices it is hard to beat on convenience.
Outlook on the web — no install required#
Outlook on the web — still widely called OWA — is the browser interface to an Exchange mailbox. If your organisation publishes it, you reach your full mailbox at a URL like https://mail.yourcompany.com/owa from any device, with no client to install and nothing to configure.
It works the same way for on-premises Exchange, hybrid and Exchange Online, and it is often the fastest way to check whether a mailbox is reachable at all before you troubleshoot a desktop client. The limitation is that it is online-only: close the tab or lose the connection and you lose access, with no local copy of your mail. For a shared or occasional-use machine, that can be a feature rather than a flaw.
Outlook mobile — Microsoft's phone app#
Outlook for iOS and Android is Microsoft's mobile app, and it is the phone client most tightly integrated with Microsoft 365. For online mailboxes it connects through Microsoft's cloud sync service; for on-premises mailboxes it relies on a hybrid Modern Authentication setup, so a standalone legacy server without that configuration may not connect.
For most people whose Exchange mailbox is in Microsoft 365 or a properly configured hybrid, Outlook mobile is the smoothest phone experience, with push mail, calendar and search. If your mailbox is purely on-premises, check with your admin whether hybrid Modern Auth is in place, or fall back to the built-in Mail app over ActiveSync.
New Outlook for Windows — not yet for on-prem#
The new Outlook for Windows is Microsoft's rebuilt, web-based replacement for classic Outlook. It is worth calling out specifically because, as of August 2026, it does not natively connect to on-premises Exchange accounts — Microsoft has not shipped that support, and administrators report the on-prem Exchange option simply is not offered.
It handles Exchange Online well, and Microsoft reintroduced limited IMAP and POP support, but for on-premises or hybrid mailboxes the guidance is to stay on classic Outlook. If you are prompted to switch and you rely on an on-prem mailbox, decline for now and verify Microsoft's current support in Outlook help before moving. This is the one place where the newest Microsoft client is the wrong answer for this specific job.
AI Emaily — AI triage for Microsoft 365 and IMAP mailboxes#
AI Emaily — the AI email client we build — belongs on this list with a clear boundary drawn around it. It connects to Microsoft mailboxes in one of two ways: through Microsoft 365 with OAuth, or through standard IMAP. It does not speak EWS, MAPI or Exchange ActiveSync.
In practice that means: if your Exchange mailbox is in Microsoft 365 (Exchange Online), AI Emaily connects cleanly with a Microsoft sign-in. If your mailbox is on an on-premises or hybrid server that has IMAP enabled, it can connect over IMAP. But if you are on a legacy on-premises Exchange server with IMAP switched off, AI Emaily cannot reach it — and no configuration on our side changes that. For that case, use classic Outlook or an EWS client from the list above.

Match the client to your deployment, not to a review score. The table below maps the common situations to the client that fits; the notes underneath explain the edge cases.

One more thing shapes the decision: time. Exchange Server 2016 and 2019 reached end of support on 14 October 2025, so they no longer receive security fixes. Organisations still on them are either upgrading to Exchange Server Subscription Edition or migrating mailboxes to Microsoft 365.
That migration matters for client choice, because a move to Microsoft 365 opens up every client on this list — including the OAuth and IMAP apps that a locked-down legacy server shut out. If you are picking a client for a server that is on its way out, remember the answer may change once the mailbox moves.
