Webmail has zero install cost, zero disk footprint, and it is identical on every machine you sign into. That is a real feature.

- Search on a large mailbox. A local index searches a 200,000-message archive in the time it takes you to finish typing. Webmail sends the query to the provider and waits — fast on Gmail, uneven on self-hosted IMAP or a shared workspace.
- Notifications and unread badges. A native or Electron app puts a badge on your Dock or taskbar and fires an OS notification the system respects. A browser tab cannot do the second when it is closed, and cannot show a badge at all.

Worked example: apply the criteria#
Take a sales manager who runs three accounts — a personal Gmail, a work Microsoft 365 mailbox on Outlook.com, and a Fastmail account for a side consulting project. She receives about 120 messages a day, has around 45,000 in her archive, flies twice a week for client meetings, and works from her laptop at home, her office desktop, and the occasional hotel business centre.
Score her against the criteria. Offline — required (plane, hotel Wi-Fi). Sync reliability — required (a missed inbound costs her deals). Search on a large mailbox — required (she references a two-year-old contract every other day). Notifications — required. Multi-account — required. Cross-device — matters, but the office desktop is hers to install on; the hotel machine she uses maybe once a month for printing.
That reader is not a webmail reader. Webmail loses at least four of her non-negotiables and only wins one — the shared hotel machine. She would lose deals if she picked it.
She is a client reader. The pure-desktop path (Thunderbird, Apple Mail, eM Client) covers offline, sync, search, notifications and multi-account. What it does not cover is the work she does after the mail arrives — reading a 120-message queue three times a day and writing 40 replies. Red flags on either side#
A few patterns that should push you off whichever side you were leaning toward, regardless of the brand name.
- A 'free' webmail whose business model you can't name. If the product is free forever and there is no visible paid tier, the mail or the metadata about it is likely to be the product. Established providers (Gmail, Outlook.com, iCloud, Proton) are up-front about what they sell and to whom; a new free webmail whose funding model isn't obvious deserves a hard look before you route your inbox through it.
- A desktop client whose last release was more than a year ago. Mail authentication (SPF, DKIM, DMARC), provider OAuth policies and OS notification permissions all evolve. An unmaintained client rots quietly — it works today, silently drops OAuth tomorrow, and you find out when messages stop syncing.
- A client that asks for your primary account password rather than using OAuth. For Gmail, Outlook, iCloud and Fastmail, OAuth (or provider-issued app passwords) is the modern integration. A client asking for a live Google or Microsoft password in 2026 is either targeting a niche IMAP setup or is behind on security.
- A webmail that requires you to disable browser features to work. Some webmail pages complain about content blockers or ask you to whitelist tracking pixels. The browser not loading a remote pixel by default is a feature, not a bug — do not switch it off to appease a mail interface.
- An AI email tool with no undo, no audit trail, no approve-before-send. In 2026 the honest bar for AI writing your mail is: you approve every send in the default mode, and even in a more autonomous mode there is an audit log and an undo window.
