Those controls are the reason to bring an AI agent near a shared, work mailbox at all.

Superhuman Mail is genuinely excellent at one thing in particular: fast, keyboard-driven triage with a long-polished command palette. If your team lives in Gmail and speed through the inbox is the whole point, it has a longer track record at that job than almost anyone. Its Outlook and Microsoft 365 support is newer than its Gmail support, so a Microsoft shop should test it against its own mailboxes before committing.

AI Emaily connects Gmail, Microsoft 365 and standard IMAP, so a business that has a Microsoft 365 tenant plus a legacy IMAP mailbox or a Gmail account somewhere can unify all of them in one client. Superhuman's help center lists Gmail and Microsoft 365 as its supported account types; standard IMAP is not documented, so a mixed estate may not fit.

The second difference is control. AI Emaily runs in Manual, Copilot or Autopilot mode. In Copilot, the agent drafts and stages actions but nothing sends until a person approves it, and every action lands in an audit trail with undo. For a work mailbox, that approval gate and audit log are the point, not a nice-to-have.

Drafting matches a voice you set, not a voice guessed from your history. AI Emaily builds replies from a Personal Context brain you configure plus per-client profiles, so a reply to a supplier reads differently from a reply to your CEO because you told it to, not because it scraped old mail. And AI Emaily does not train AI models on your email.

On desktop, AI Emaily ships a downloadable app for macOS (Apple Silicon) and Windows, so this is not a browser-only tool. It is an Electron shell around the web interface, which means it is not a native Swift binary and will not match a native client on memory or deep OS integration, but it is a real installed app with its own window and system notifications.

Where Superhuman wins#

Superhuman Mail is built around speed, and it is very good at it. The keyboard-first workflow, the command palette and the split-inbox model have been refined for years, and for a heavy inbox that a person clears by hand every day, that polish is real value. If raw triage speed is your single most important criterion, put it at the top of your shortlist.

It also carries a longer track record and a large, established user base among founders and executives, most of whom came for the Gmail experience. Superhuman offers single sign-on through Google and Microsoft, which matters for organisations standardising identity. And because it is now part of the Superhuman and Grammarly umbrella, some teams will value that broader assistant ecosystem sitting alongside the mail client.

None of that is faint praise. If your team is Gmail-first, comfortable inside the Superhuman ecosystem, and optimising for keyboard throughput, Superhuman Mail is a defensible choice and you should trial it.

How Microsoft 365 access actually works: Graph, shared mailboxes and admin consent#

This is the part a Microsoft-shop buyer should understand before either product enters a bake-off, because it applies to both. Any third-party client that connects a Microsoft 365 mailbox does so through the Microsoft Graph API. The app requests OAuth permission scopes, such as reading mail, reading and writing mail, and sending mail, and Microsoft, not the app, decides what those scopes can touch.

On shared mailboxes, the platform is capable. Microsoft's own documentation states that the Graph mail API can access data in a user's primary mailbox and in shared mailboxes on Exchange Online, though it does not support in-place archive mailboxes. That means whether Superhuman or AI Emaily can open a Microsoft 365 shared mailbox is a per-vendor product decision: Microsoft allows it, and the client has to build for it. Neither vendor prominently documents mounting an Exchange shared mailbox on the pages we checked, so confirm shared-mailbox behaviour directly with each before you rely on it.

Admin consent is the other thing to plan for. When someone connects an app, they normally grant delegated consent at sign-in. But a Microsoft Entra administrator can restrict user consent so that non-admins cannot approve third-party apps, and some permissions always require admin consent. In a locked-down tenant, a Microsoft 365 admin must grant consent, tenant-wide or per user, before your team can connect the client. This is Microsoft's consent model, not a limitation of AI Emaily or Superhuman.

The right pick follows from your mailbox estate and how much control you want over the AI, not from which tool is newer.

• Choose AI Emaily if you run Microsoft 365 and also have Gmail or IMAP accounts to unify, if you want approve-before-send with an audit trail, if you want to dial autonomy from manual to Autopilot, or if you need a downloadable Mac (Apple Silicon) or Windows app.
• Choose Superhuman Mail if your team is Gmail-first, keyboard throughput is your top criterion, and you are comfortable it is now part of the Superhuman and Grammarly umbrella. Trial its Outlook support against your own Microsoft 365 mailboxes first, since that support is newer.
• Neither is right if you need a native Linux desktop app: AI Emaily is web-only on Linux, and you should verify Superhuman's Linux status directly. For on-prem Exchange or POP-only mailboxes, confirm support with each vendor before you commit.

A third option, honestly#

If you want to stay entirely inside Outlook and simply add AI, the most native option is Microsoft 365 Copilot. It is built by Microsoft, needs no new client, and uses admin controls your IT team already manages. For a risk-averse Microsoft shop, that is a real advantage, and it is worth weighing before you adopt any outside client.
