Backup versus archive versus export — the shape that decides fit#

3. Afi#

Afi is the newer entrant, built for the axes incumbents undersell: capture frequency, restore flexibility, and where the data physically lives. It runs up to hourly automated backups for Microsoft 365 (Exchange, OneDrive, SharePoint, Teams) and Google Workspace (Gmail, Drives, Calendar, Contacts, Chats) — meaningfully finer-grained than the once- or thrice-daily incumbents.

Restore is item-level, either in-place or to another account (useful when the original user is gone). Storage region is a first-class option: US, EU (Netherlands and Germany), Switzerland, Australia, Canada and the UK — so a European tenant with data-residency requirements has an answer without self-hosting. Where it loses: as the newest entrant, Afi's MSP ecosystem is thinner than Datto's and its procurement track record shorter. If channel support or vendor tenure is a hard requirement, weigh Backupify or Spanning instead.

4. SysCloud#

SysCloud sits alongside Backupify and Spanning as a multi-tenant SaaS backup with the same core coverage — Google Workspace and Microsoft 365 including Exchange mailboxes — plus a compliance and data-loss-prevention layer that other tools sell separately. Where it loses: Windows-only, so Mac and Linux households need an alternative or a Windows VM. For business use, MailStore points to MailStore Server (per-mailbox licensed, out of scope here). For a Microsoft 365 or Google Workspace tenant with multiple users, the SaaS backup tools above are the right shape.

6. CubeBackup#

CubeBackup is the self-hosted option: install the server on your own hardware or a private cloud VM and point it at your Google Workspace or Microsoft 365 tenant. Microsoft coverage includes Exchange Online, OneDrive and SharePoint; Google coverage includes Gmail, Drive, Shared Drives, Contacts and Calendar. Backups run automatically, incrementally, and hourly by default, with unlimited version history for point-in-time restore.

The reason to choose CubeBackup over SaaS is storage control. Backup data lives on storage you own — a NAS, a local SSD, your own S3-compatible bucket — the right answer when your regulator or board requires that no third party holds a copy. Licensing is an annual per-user subscription (lower rates for non-profit and educational tenants); Shared Drives and SharePoint sites are covered without a per-seat charge.

Where it loses: someone has to run the server. If no one on your team is comfortable operating a small always-on VM, a SaaS backup is less friction end to end. The trade is real — you save the SaaS margin and gain full control, and you accept the operational responsibility of owning the box.

7. Google Takeout (native — export, not backup)#

Google Takeout is Google's built-in export path for a Gmail account (personal or Workspace, subject to admin policy). Pick Mail, optionally narrow to labels, choose a format — MBOX is standard — and Google produces a downloadable archive, usually within hours for a large mailbox. The MBOX output is readable by any mail client that supports it, so you are not locked into a proprietary format.

This is a one-off export, not a backup. Google does not schedule Takeout, keep version history, or offer an in-account restore path — the archive is a file you saved, and putting it back is a manual import. For leaving a job, closing an account, or handing a mailbox to a lawyer, Takeout is the right tool. For ongoing protection against deletion, ransomware or account compromise, it is not.

The honest use of Takeout is as a supplement, not a replacement. Even running one of the SaaS backup tools above, a quarterly Takeout to cold storage costs nothing and gives you a portable copy readable in ten years without a vendor account. Set a calendar reminder and treat it as belt-and-braces.

8. Outlook Export to PST (native — export, not backup)#

Classic Outlook's export path (File → Open & Export → Import/Export → Export to a file → Outlook Data File .pst) produces a PST of whichever folders you select. Any Classic Outlook client can re-import it into a live mailbox. For an on-premises Exchange, IMAP or POP account attached to Classic Outlook, this is the standard way to take a portable copy off the server.

Two limits matter. First, this is a manual, one-off export — Outlook does not schedule, version, or auto-restore it. Second, the New Outlook client (which Microsoft is nudging users toward ahead of Classic support ending in October 2027) does not support PST export. If your organisation has moved to New Outlook, this path is unavailable and you need one of the SaaS backup tools above.

Same framing as Takeout: PST export is a legitimate portable copy and a legitimate answer to 'I am leaving this account.' It is not a substitute for scheduled restorable backup on a business mailbox.

Match the tenant shape first, then storage preference. Business tenant or personal mailbox decides which camp applies; vendor-held or self-held decides which tool inside that camp.

  • Small business or team on Microsoft 365 or Google Workspace, no strong storage-location constraint: Backupify, Spanning, or Afi. Trial two of them side by side on the same tenant for a week and pick whichever the person who will actually operate it prefers.
  • Microsoft 365 or Google Workspace tenant with a data-residency requirement (EU, UK, Switzerland, Canada, Australia): Afi has explicit region-selectable storage; CubeBackup lets you host in your own region entirely.

Whichever backup tool you pick, run a real restore during the trial — delete a test message, empty the Trash, wait an hour, then restore that specific message back to its original folder. Any tool can capture; not every tool restores cleanly. Prove restore before you trust the capture.

How often should you back up an email mailbox?#

For a business mailbox on Microsoft 365 or Google Workspace, daily is the floor and intra-day (three-times-daily or hourly) is the right target if the tool supports it. The concern is not raw volume but the size of the loss window: if backup runs once a day at 2am and a wire-fraud attempt lands at 10am and is deleted from Sent at 10:30, a once-a-day backup would not have captured it.

For a personal mailbox, weekly is usually enough — loss scenarios are smaller and recoverable mail accumulates slowly. Set MailStore Home or your tool of choice to weekly and forget about it; let the built-in retention hold enough history that you can go back further if needed.
