Adding Gmail to Outlook desktop is a two-minute task for the sign-in itself, and a longer task if you do not know the Gmail-specific quirks that follow. The connection is not the hard part. The hard part is what happens after: the Delete key in Outlook does not do what the Delete key in Gmail does, All Mail appears as what looks like a duplicate of your inbox, and Outlook sometimes starts prompting for your Google password every week even though you entered it correctly the first time.
Gmail organises mail around labels and conversations. Outlook organises it around folders and individual messages. When you add Gmail to Outlook over IMAP, the client represents one model in the other's terms. The result is workable, but the seams show if you do not know where to look.
There are also two meaningfully different versions of Outlook on Windows. New Outlook, the rebuilt app Microsoft has been rolling out since 2024 with a toggle reading New Outlook in the top corner, adds Gmail through a browser-based Google sign-in that takes under two minutes. Before you start: three things that are different about Gmail#
Three facts about Gmail distinguish it from every other IMAP account you might add to Outlook.
First, Gmail IMAP is on by default for all accounts. Google enabled it universally in early 2025, so you no longer need to open Gmail settings and flip an IMAP switch before connecting a desktop client. If an older guide tells you to enable IMAP first, skip that step.
Second, the modern setup path does not need an app password. When you add a Gmail address in new Outlook, or in classic Outlook using the automatic path, Outlook opens a Google sign-in window in your browser. You enter your Google password there, approve the two-step verification prompt on your phone, and choose Allow. Your real password never gets typed into Outlook at all. A Google app password is only required if you take the manual IMAP path in classic Outlook and have two-step verification on — in that case, generate one under your Google Account in Security under App passwords, and use it in place of your normal password.
Third, understand how Gmail handles archive and delete before you start using the account. In Gmail, archiving a message removes it from the inbox but keeps it in All Mail — it stays fully searchable, just out of the inbox. Deleting sends it to the Trash, where it stays for 30 days before permanent deletion. Outlook's Delete key and Archive button do not automatically map to Gmail's actions. By default in classic Outlook, pressing Delete moves the IMAP message to the Outlook Deleted Items folder, which Gmail treats as a move to its own Trash. If you intended to archive, you need to move the message to the [Gmail]/All Mail folder instead. This mismatch catches most people the first time they use Gmail in classic Outlook.

How do you add Gmail to new Outlook for Windows?#
New Outlook uses a single sign-in flow for Gmail that works through a Google browser window. You do not need server names, port numbers, or an app password for the standard path.

Open Settings from the gear icon
Select the gear icon in the top-right corner of new Outlook. If this is the first account you are adding and new Outlook opened with a welcome screen, type your Gmail address directly into that field instead and skip ahead to step 4.

Go to Accounts, then Email accounts
In the Settings panel, choose Accounts, then Email accounts. This page lists every mailbox already connected to Outlook. Select Add account to begin.

Enter your Gmail address and continue
Type your full Gmail address — or your Google Workspace address — in the field and select Continue. Outlook looks up the domain, recognises it as a Google account, and opens a Google sign-in window in your browser.

Sign in to your Google account
Enter your Google password in the browser window that opens. This is your normal Google password, not an app password. Complete any two-step verification prompt — typically an approval on your phone or a code from your authenticator app.

Google shows a permissions screen listing what Outlook is asking to access: read, send, and manage your mail. Select Allow. This is the OAuth step: Google issues Outlook a scoped access token and your password is never stored in Outlook.

Close the dialog in new Outlook. The Gmail account appears in the left-hand folder pane. The first sync can take several minutes for a large mailbox — leave the app open until your Inbox starts populating.
How do you add Gmail to classic Outlook for Windows?#
Classic Outlook uses the File menu rather than a gear icon. The modern automatic path still opens a Google browser sign-in and does not require an app password. The manual IMAP path is there if automatic setup fails or if you need full control over the server settings.

Open File, then Add Account
In classic Outlook, select File in the top-left corner to open the Account Information screen. Select Add Account. A small window appears asking for your email address.

Enter your Gmail address and check Advanced options
Type your full Gmail address. Before selecting Connect, look for the small Advanced options link below the address field and expand it. This is where the manual setup checkbox lives and it is easy to miss.

Leave the manual setup checkbox unchecked if you want Outlook to handle the connection automatically — the most common and easiest choice. Select Connect. Classic Outlook opens a Google sign-in window in your browser.

Enter your Google password in the browser window, complete the two-step verification prompt on your phone, and select Allow when Google asks to grant Outlook access to your account. The OAuth token is saved and your password is not stored in Outlook.

For manual IMAP: enter server settings and use an app password
If you ticked the manual setup checkbox, Outlook asks you to choose IMAP and enter server details. Use: incoming server imap.gmail.com port 993 SSL/TLS; outgoing server smtp.gmail.com port 587 SSL/TLS. Your username is your full Gmail address. Your password must be a Google app password — not your normal Google password — if two-step verification is on. Generate one at myaccount.google.com under Security, then App passwords.

Finish setup
Select Connect or Done. Classic Outlook tests the connection and, on success, adds the Gmail mailbox to your folder pane. The first sync of a large mailbox may take a while; leave Outlook running until your messages appear.

The sign-in method, the need for an app password, and how archive and delete work differ across the Outlook versions. If you use more than one — classic Outlook at a desk and the Outlook mobile app on a phone, for example — understanding these differences prevents a lot of confusion.

The decision point is straightforward: if Outlook recognises your Gmail address and opens a Google browser window, you are on the OAuth path and no app password is involved. If Outlook drops you to a plain password field — which only happens when you choose the manual IMAP path in classic Outlook — you need an app password instead.
The OAuth path is preferable on both security and convenience grounds. The token Google issues is scoped to mail access only, can be revoked at any time from your Google account without changing your password, and typically stays valid for months without requiring re-authentication. The manual path remains useful when a corporate firewall blocks the OAuth browser window, or when you are adding Gmail to a client that does not support OAuth at all.

What should you do when Gmail won't connect or keeps asking for your password?#
When Gmail misbehaves in Outlook, the root cause is almost always one of five things. Work through these in order and stop when the problem is resolved.
- Outlook keeps prompting for your Gmail password. The cause is almost always a stale or incompletely saved OAuth token. Remove the Gmail account from Outlook entirely, then re-add it from scratch. When the Google sign-in window opens, complete every step — enter your password, approve the two-step prompt on your phone, and select Allow on the permissions screen. An incomplete approval is the single most common cause of the password loop.
- Messages are not appearing or sync is extremely slow. Gmail enforces IMAP rate limits. If your mailbox has tens of thousands of messages, the initial sync can take hours and appears stalled. Leave Outlook open on a reliable connection. You can reduce the sync load by subscribing only to the folders you actually use: in classic Outlook, go to the account's More Settings and adjust the Subscribe to folders option to include just Inbox, Sent, and Drafts. In new Outlook, you can hide folders you do not need from the folder pane.
- Deleted messages in Outlook are not going to Gmail Trash. If a message you deleted in Outlook is still showing in Gmail Inbox, check whether Outlook moved it to Deleted Items versus actually expunging it. Gmail only removes a message from the inbox when IMAP marks it as deleted and expunges the mailbox. Some Outlook configurations defer the expunge, leaving messages in a limbo state. Fully deleting and expunging from the Deleted Items folder forces Gmail to process the deletion.
- All Mail shows every message twice. The All Mail folder contains all messages regardless of label, so anything in your Inbox also appears there. This is not a sync error. Suppress it by right-clicking All Mail in the folder pane, choosing Properties, and setting it to not show in IMAP clients. The messages stay in Gmail; they just stop cluttering the folder list in Outlook.
- A Google Workspace account fails to connect or keeps failing OAuth. Your organisation may have restricted third-party app access. Ask your Google Workspace admin whether Outlook needs to be added to the approved apps list. Some Workspace configurations also require a specific OAuth client configuration that your IT team manages. If the admin has restricted IMAP access entirely, Outlook cannot connect regardless of the path you use.
