Knowing how to add Outlook to Apple Mail on Mac depends on which Microsoft account type you have. A personal Outlook.com account — with an @outlook.com, @hotmail.com, or @live.com address — connects over a Microsoft Exchange path that uses OAuth to authenticate rather than asking for your password directly. A work or school Microsoft 365 account uses the same Exchange account type, but it goes through your organisation's identity provider and may run into policies that prevent third-party email clients from connecting at all.
The steps for each path differ enough that following the wrong one usually results in a failed connection or an account that signs in but never syncs mail. Before you start#
Confirm which type of Microsoft account you have before opening Apple Mail. An Outlook.com account is a personal Microsoft account — its address ends in @outlook.com, @hotmail.com, @live.com, or a custom domain you registered through Microsoft. A Microsoft 365 work account carries a company domain (@yourcompany.com) and is managed by an administrator.
For a work Microsoft 365 account, check with your IT department before you begin. Your organisation may have a Conditional Access policy that explicitly blocks authentication from non-Microsoft clients such as Apple Mail. If that policy is in place, a correct password and a working OAuth flow will still fail at the authentication layer — Microsoft returns an error, not a slow connection. That is an IT configuration decision, not something you can resolve from your own settings.
You will also need to know which macOS version you are running. On macOS Ventura and later, including Sequoia, the menu path is Mail, then Settings. On Monterey and earlier, the path is Mail, then Preferences. The steps inside the panel are identical once you reach the Accounts tab.
Have your Microsoft password ready, and if your account uses two-factor authentication, have your authenticator app or phone nearby. The sign-in page is a Microsoft-hosted browser page, and it prompts for MFA as part of the flow.

How to add a personal Outlook.com account to Apple Mail#
Personal Outlook.com accounts connect through the Microsoft Exchange account type. Apple Mail opens a Microsoft-hosted OAuth sign-in page in your browser; you do not need to enter IMAP host names or port numbers manually. Microsoft documents the Outlook.com IMAP settings as server imap-mail.outlook.com on port 993 with SSL, and SMTP server smtp-mail.outlook.com on port 587 with STARTTLS — but those values are negotiated automatically through the Exchange path and you should only need them as a fallback if automatic configuration fails.

Open Mail and go to Settings
Open the Mail app, choose Mail in the menu bar, then Settings on macOS Ventura or later or Preferences on Monterey and earlier. Click the Accounts tab at the top of the panel.

Click the plus button in the lower-left corner of the Accounts list. An Add Account sheet appears with a list of providers.

Verify the account appears and syncs
The account should appear in the Mail sidebar within a minute. If the inbox stays empty or the account shows an error badge, check Settings > Accounts for a connection error — which usually means the OAuth token was not issued and requires repeating the sign-in step.
How to add a Microsoft 365 work account to Apple Mail#
Work and school Microsoft 365 accounts use the same Microsoft Exchange account type, but your organisation's Conditional Access policies, MFA configuration, and Exchange Online settings determine whether the connection can succeed. If your IT department has restricted Exchange Online to Microsoft-managed clients or Intune-enrolled devices only, Apple Mail will fail at authentication even with correct credentials.

Apple Mail may offer two options: Sign In and Configure Manually. Choose Sign In. Manual configuration requires an on-premises Exchange server address and basic credentials, neither of which applies to Exchange Online. Use Configure Manually only if your IT department has given you a specific server address and told you to use that path.

Complete the Microsoft OAuth sign-in
A Microsoft-hosted browser page opens. Enter your work password and complete any MFA prompt. If your organisation uses a single sign-on provider such as Okta or Azure AD, you may see a company-branded sign-in page first. Approve any permission request that appears before you are redirected back to Apple Mail.

Grant the requested permissions
Microsoft may show a consent screen listing the permissions Apple Mail needs — read your mail, access your contacts and calendars. Grant the permissions to complete the connection.

Check Settings > Accounts for any error message. If you see a message referencing a policy, a blocked client, or Conditional Access, the block is server-side and must be resolved by your IT administrator. If sync succeeds, send a test message to confirm the connection is fully working.
What Apple Mail supports and does not support for Outlook and Microsoft 365#
Apple Mail handles the core email functions for both account types — reading, sending, searching, and folder management all work. The features that do not carry across are the ones most tightly coupled to the Outlook client itself or to Exchange-specific server properties that Apple Mail does not read.
