What a "read receipt" actually is#

Two mechanisms get sold under the same word, and they behave completely differently. Understanding the split is what lets you pick the right tool.

RFC 8098 Message Disposition Notifications are the formal, IETF-standard version. You compose a message with a Disposition-Notification-To header. The recipient's mail client sees that header on receipt and — this is the important part — asks the recipient whether to send a receipt back. The user clicks Yes, No, or ignores the prompt. If they say Yes, their client generates a Message/disposition-notification reply that lands in your inbox with a machine-readable status. If they say No or their client ignores the header entirely, you get nothing and cannot infer anything from the silence.

Tracking pixels are the parallel-universe version. Your outgoing message includes a tiny image whose URL points at the tracking vendor's server, uniquely coded per message and per recipient. When the recipient's client loads the image, the vendor logs the request and reports back that the message was "opened". This happens without asking anyone. It is why Apple Mail on iOS 15+ pre-fetches remote content through Apple's Mail Privacy Protection proxy — an entire ecosystem-level defence built specifically because pixel tracking is intrusive enough to warrant one.

Two consequences follow. First, MDN receipts are honest and often empty; pixel tracking is dishonest and often wrong. Second, the reader you send a pixel-tracked email to has no way of knowing you did — which is legal in most jurisdictions but is doing something to the trust in the thread whether or not the recipient notices.

MDN receipts and tracking pixels do different jobs#

The two mechanisms are not interchangeable. An MDN receipt is a formal confirmation you asked for and the recipient chose to send. A tracking pixel is telemetry the recipient did not consent to and, increasingly, cannot be relied on because their client blocks or pre-fetches remote images. Match the mechanism to the reason you want a receipt in the first place.

2. Microsoft Outlook (native) — the deepest native MDN implementation#

Outlook has shipped MDN read receipt requests for two decades and, on Microsoft 365 with Exchange Online as the backend, it is the most thorough native implementation in the category. You tick Request a Read Receipt in the message options; the recipient's Outlook prompts them the moment they open the message; a Message/disposition-notification arrives back with a status. On top of that, Outlook also supports Delivery Receipts (an SMTP-level confirmation from the recipient's server) and Exchange Online admins can query Message Tracking logs for every message inside the tenant — which is closer to "did the server accept it" than a real read receipt but is often what an IT audit is asking for.

This is the dimension we concede by name. For a Windows-Outlook-and-Exchange-Online shop that already uses Outlook as the default client, Microsoft's stack is the deepest MDN implementation you will find. It is included in the subscription you already pay for, admins can control policy across the tenant, and Exchange Message Tracking gives you a level of server-side verification a third-party pixel tracker cannot match. If your reader's tenant strips or blocks receipts, that is not Outlook's fault — that is exactly what MDN is designed to allow.

3. Google Workspace (native) — MDN receipts on paid tiers only#

Google Workspace supports MDN read receipt requests, but only on paid Workspace tiers (Business Standard and above) and only for messages sent to Workspace domain recipients or to specific addresses your admin has allowed. A personal @gmail.com account cannot request or respond to receipts at all. This is a routine surprise for teams that migrated to Workspace expecting the receipt behaviour they had in Outlook.

Where the setup is right, the behaviour is honest MDN: your Gmail compose window shows a Request read receipt option, the recipient's Gmail prompts them, and you get a response in your inbox if they choose to send one. Enable it in the Workspace admin console for the sending OU. Verify the current tier requirements on Google's Workspace help pages before making it central to a workflow, because the tiers eligible for this have shifted twice in the last three years.

Mailtrack is the Gmail browser extension most people picture when they hear "read receipt for Gmail". It embeds a tracking pixel in each outgoing message and shows you double-tick style indicators in your compose thread and inbox — sent, delivered, read — plus a timeline of every open. Yesware is one of the older sales-email tools in the category, supporting both Gmail and Outlook. Its read receipt mechanism is pixel-based; the reporting layer covers opens, replies, and per-link clicks, with campaign-level and template-level aggregation. It also supports mail merge and multi-step outreach sequences on the paid tiers.

Yesware is worth considering when you want both Gmail and Outlook support in the same tool and prefer per-seat pricing to a CRM subscription. It is a narrower tool than HubSpot Sales — it does not carry a CRM behind it — and a broader one than Mailtrack, since sequences and reply detection are core. 8. Streak — pixel tracking inside a Gmail CRM#

Streak is a CRM that lives entirely inside Gmail, using Gmail labels and threads as its data model. Because the CRM is in the Gmail interface rather than a separate app, users who already do all their pipeline work in Gmail can adopt tracking without leaving.

Two caveats. Streak is Gmail-only, so it is not the answer for any team that also uses Outlook or a mixed setup. And because tracking is pixel-based, everything in the earlier caveats applies — Apple Mail Privacy Protection makes the numbers noisy and image-blocking on the recipient's client makes them silent. Tracking pixels are a privacy signal to a hardened recipient

Sending pixel-tracked mail to a security-conscious counterpart — a lawyer, a journalist, a security engineer — is often visible. Many privacy-focused clients flag or block remote images by default and some inbound gateways strip tracking pixels entirely and note that they did so. For sensitive outbound, this is a reputational consideration, not just a technical one.

How to choose for your situation#

The right tool depends less on which one is best in the abstract and more on why you want a receipt in the first place. Four common answers, four different picks.

  • You want honest confirmation that a specific important message was read, and you are fine with sometimes getting no answer. Native Outlook or native Google Workspace, using the MDN checkbox in the compose window. These are the tools that ask the recipient rather than track them.

Do not use tracking pixels for consequential decisions

An "opened" event from a pixel tracker is a signal, not a fact. Apple Mail Privacy Protection reports every message as opened; blocked remote images report every message as never opened. Do not use a pixel event to decide whether someone read a legal notice, whether a client agreed to a change, or whether an offer expired. For that, use MDN plus a follow-up you are willing to make in person.

What separates a real receipt from a marketing claim#

Three things matter more than the vendor's tagline.

The mechanism is stated. A vendor that describes their read receipt without ever saying "pixel" or "MDN" is describing the outcome, not the mechanism, and you cannot reason about defeatability without the mechanism.
