Why Gmail Labels Show as Folders in Apple Mail

Apple Mail connects to Gmail over IMAP, a protocol that organizes email into folders. Gmail does not work that way — it stores every message in a single pool and attaches labels to messages like tags. When Gmail exposes your account to Apple Mail over IMAP, each label becomes a folder, and every message carrying that label appears inside it. A message tagged Work, Client, and Follow-up shows up three times in Apple Mail's sidebar — once per label-folder — even though only one message exists on Gmail's server.

This is not a bug or a sync problem. It is the predictable result of translating a label-based mail system into a folder-based protocol. Understanding the mechanism explains why Gmail labels show as folders in Apple Mail, why the same message appears several times, what actually happens when you delete from a label-folder, and which Gmail settings control how much of this reaches Apple Mail in the first place.

The short answer#

Gmail runs on labels. Every message lives in All Mail — one location on Gmail's server — and labels attach to messages without moving them. The Gmail web interface makes this invisible: you click a label in the sidebar and see only messages that carry it, as if they live inside a folder. Underneath, every one of them is still in All Mail.

IMAP is a folder protocol. When Google exposes Gmail over IMAP, it translates each label into an IMAP folder. Apple Mail connects and sees what looks like a conventional folder tree — Inbox, Sent, Drafts, and then one folder for every label in the account. A message carrying three labels appears in all three label-folders simultaneously.

This is an accurate representation of the IMAP view, not a display glitch. If you remove a label from a message in Gmail's web interface, the message disappears from that folder in Apple Mail within seconds. If you add a label, the message appears in the new folder. Apple Mail is not inventing duplicates — it is showing you every folder the IMAP translation created.

What the [Gmail] folders mean#

Adding a Gmail account to Apple Mail produces a folder called [Gmail] in the sidebar with several built-in subfolders. These come from Gmail's IMAP server, not from Apple Mail's preferences, and each maps to a specific part of Gmail's architecture.

Why does Apple Mail show the same Gmail message twice?#

A message appears in multiple folders in Apple Mail when it carries multiple Gmail labels. Inbox is itself a label in Gmail's architecture. A new message that arrives in your Inbox with an auto-applied filter label shows in both the Inbox folder and the custom label folder in Apple Mail. Add a second filter label and it appears in three places.

All Mail compounds the effect. Every message in the account appears in All Mail, so a message already in Inbox and one label-folder also appears in All Mail. This is why a Gmail account in Apple Mail often looks far busier than the same account in Gmail's web interface: Gmail hides All Mail from the left sidebar by default and shows only the active label's contents; Apple Mail shows every folder the IMAP translation created.

A reply sent from any one of those views sends the same reply — they are the same message. Marking one as read marks all of them as read. The only action that behaves differently across views is deletion, which is covered in the next section.

What happens when you delete or archive in Apple Mail#

The label-to-folder translation causes the most confusion here. Deleting and archiving in Apple Mail do not behave the same way as in a standard IMAP account, because Gmail's underlying model is labels rather than folder moves.

How to control which Gmail labels show in Apple Mail#

Gmail lets you control IMAP visibility per label. Hiding a label from IMAP removes its folder from Apple Mail's sidebar without deleting the label, removing it from existing messages, or changing anything in the Gmail web interface. The messages are still there — Apple Mail simply stops showing a folder for that label.

   Open Gmail Settings in a browser

   Sign in to Gmail on the web. Click the gear icon in the top right corner, then click See all settings.

   Go to the Labels tab

   Click the Labels tab along the top of the Settings page. The full list of system labels and your custom labels appears, each with columns showing whether they appear in the message list and in IMAP.

   Find the label you want to hide

   Scroll through the list to the label. In the IMAP column, click the hide link next to it. The link toggles between show and hide. A label set to hide will not appear as a folder in any IMAP client, including Apple Mail.

   There is no bulk toggle — you configure each label individually. Commonly hidden labels include All Mail (reduces sidebar clutter significantly), auto-filter labels you only manage via Gmail's web interface, and app-generated labels from services like Stripe, GitHub, or Shopify.

   Wait for Apple Mail to refresh

   Changes apply within a few minutes. In Apple Mail, choose Mailbox from the menu bar, then Get All New Mail to force a folder list refresh. If the old folders still show, quit and reopen Apple Mail.

Which Gmail labels should show in IMAP?#

Google's own documentation advises enabling only labels you actively need to access from another client. Most Apple Mail users benefit from a selective approach.

• Keep Inbox, Sent Mail, Drafts, Spam, and Trash — these map to standard mailbox roles Apple Mail handles correctly.
• Keep labels you navigate to regularly in Apple Mail: active client names, current project folders, any label you use for filing while in Apple Mail.
• Hide All Mail if you do not need a single view of every message — it adds a very large folder that duplicates every other folder.
• Hide auto-filter labels that exist only to organize Gmail — if you apply a label via a filter but never browse that folder in Apple Mail, hide it.
• Hide labels created by external services: receipt labels, notification labels from GitHub, Stripe, Shopify, or calendar apps.
• Hide nested sublabels that duplicate the parent: if you expose Client but do not need Client/Acme and Client/Corp separately in Apple Mail, hide the nested ones.

What to do when it still doesn't work#

After adjusting IMAP visibility settings, some users still find Apple Mail showing unexpected folders or messages appearing in more places than expected. The table below maps common symptoms to their cause and the fix.
