How to Send Email From an Alias in Gmail

If you need to send email from an alias in Gmail — a business address, a role account like support@, or a domain you manage — Gmail's built-in send-as feature handles it without requiring a second Google account. The setup takes about five minutes, but there are several places it quietly goes wrong: verification emails that get lost, a From dropdown that never populates, Workspace accounts where the administrator has to act first, and a platform change arriving in January 2027 that will break how third-party aliases work.

This guide covers the full setup: adding the address, clearing the verification step, setting the right default From, and configuring the reply-to field so responses land where you intend. It also covers what to check when things do not work, and the differences between how personal Gmail and Google Workspace handle the same feature.

Before you start#

Gmail's send-as feature works differently depending on your account type and the kind of address you are adding. Check these points before you open Settings.

Know what kind of alias you are adding. If you own the domain — for example, you are adding [email protected] and you control that domain — you will need the outgoing SMTP server credentials for that domain to complete the setup. If you are adding another Gmail address you own, Gmail handles authentication itself and no SMTP details are required.

Note the upcoming platform change. Starting January 2027, Google will no longer support send-as for third-party email addresses such as @yahoo.com or @outlook.com. The setup still works today for those addresses, but they will stop functioning after the deadline. If that is what you are adding, plan to migrate to a custom domain setup before January 2027.

Check your Workspace permissions if applicable. On Google Workspace, the administrator controls whether users can add send-as addresses independently. If the option is greyed out or absent from your Settings, your admin needs to enable it first. Admins can also add verified aliases directly on behalf of users — those addresses appear in the From dropdown instantly without any verification step on your end.

How to send email from an alias in Gmail: step by step#

The full setup requires the Gmail web interface at mail.google.com. The mobile apps do not expose the Accounts and Import settings panel, so complete these steps in a browser. Once configured, the alias will be available on mobile automatically.

   Open Settings, then go to Accounts and Import

   Click the gear icon in the top-right corner of Gmail and select See all settings. Navigate to the Accounts and Import tab. You will see a section called Send mail as that lists your current sending addresses. This is where all send-as configuration lives.

   Click Add another email address

   In the Send mail as section, click the link that reads Add another email address. A new window opens. Enter the name you want to appear in the From field — your full name, a role name like Support, or a brand name — and the email address you want to send from. Leave Treat as an alias checked if this address belongs to you. Uncheck it only in delegation scenarios where you are acting on behalf of another person or account, rather than sending as yourself.

   Provide SMTP details if you are adding a custom domain address

   If you are adding an address on a domain you own, the next screen asks for the outgoing SMTP server details for that domain. Enter the SMTP host (for example, smtp.yourdomain.com or your hosting provider's mail server), the port (587 with TLS or 465 with SSL are standard), and your username and password for that mail account. If you are adding another Gmail address you own, Gmail handles authentication automatically and this screen does not appear.

   Click the verification link in the confirmation email

   Gmail sends a verification email to the address you just added. Check the inbox for that address — including spam — and open the email from Google. Click the confirmation link inside it. If you cannot click the link directly, the email also contains a numeric code you can enter in the verification window still open in your Gmail tab. The alias will not appear in your From dropdown until this step is completed.

   Set your default From address

   Once verified, the address appears in your Send mail as list. If you want this alias to be selected by default on all new messages, click make default next to it. You can still choose a different address for any individual message by clicking the From field in the compose window and selecting from the dropdown. Gmail supports up to 99 sending addresses on a single account, so the dropdown can become long — setting a sensible default reduces the daily friction.

   Configure the reply-to field

   Click edit info next to the alias to set the reply-to address — the address where responses land when someone clicks Reply on a message you sent from that alias. If you leave reply-to blank, replies go to whichever From address you sent from. If you set a specific reply-to, that address receives all replies to messages sent from this alias, regardless of which account hosts the alias. This field is easy to overlook and is the most common reason responses land in the wrong inbox.

How send-as works across account types#

The same Settings panel behaves differently depending on whether you are on a personal Gmail account, a Google Workspace account, or adding a third-party address. The table below shows what changes in each scenario.

What to do when send-as setup does not work#

Four problems account for nearly every send-as failure. Here is what each means and how to resolve it.

The From dropdown does not show the alias. This happens when verification is incomplete. Go to Settings > Accounts and Import and look at the Send mail as section. If the address shows Pending or a Verify link next to it, the verification email was sent but not acted on. Click Verify to resend it. Check the inbox for the alias address, including spam. If you still cannot find the verification email, confirm that the address actually receives mail before trying again — a mailbox that does not exist will silently discard the message.

The verification email never arrives. If the alias address is on a domain you control, verify that the domain's MX records are correctly configured and that the mailbox exists. A misconfigured MX record or a missing mailbox will cause the verification email to bounce or disappear with no error visible to you in Gmail. Use your domain registrar's tools or a DNS lookup to check the MX record before trying to resend.

The Workspace send-as option is greyed out or missing. Your Workspace administrator has disabled user-managed send-as addresses. Ask the admin to enable user send-as in the Admin Console under Apps > Google Workspace > Gmail > User settings, or ask the admin to add the alias directly on your behalf. The admin-added route requires no further action from you and bypasses the restriction entirely.

Recipients see on behalf of your Gmail address. When you send from an alias using Gmail's own servers, some receiving clients — particularly older versions of Outlook — display the message as coming on behalf of your primary Gmail address. This occurs because Gmail's infrastructure authenticates the message with your primary account even when the From header shows the alias. To eliminate the on behalf of notice, edit the alias in Send mail as and supply your domain's own SMTP server credentials. When the message is sent through your domain's mail server rather than Gmail's, the authentication aligns with the From address and the notice disappears.
