The reassurance first, because it is the thing almost everyone gets wrong: switching from Outlook to another email client does not move or copy your mailbox. Your mail, folders, contacts and calendar live on Microsoft's servers. A new client signs in and reads them, the way a second phone does. Nothing is exported, nothing is deleted, and your address does not change.
That is what separates this from changing email providers. How to switch from Outlook to another email client is a question about the app in front of the mailbox, not about the mailbox itself, and undoing it takes one double-click.
What leaves with Outlook is the data that only ever lived on your machine: client-only rules, Quick Steps, signatures, the autocomplete cache, PST archives and add-ins. This guide covers what to capture, how to switch, and who should not do it.
What switching actually means here
Which Outlook are you actually leaving?#
Outlook is six applications sharing a name, and they do not all have the same exit. Find your row first, because the amount of machine-side data you have to rescue varies enormously, and only one row carries a real deadline.

Is a deadline forcing this?#
For classic Outlook on Windows, no. As of July 2026 Microsoft supports it until at least 2029, and no firm final cutover date has been announced. Enterprise opt-out is scheduled for 1 March 2027, a date that comes from message centre post MC949965, updated 20 February 2026.
Message centre posts are tenant-scoped and never published to Microsoft Learn, so confirm that date in your own admin centre rather than trusting any blog, including this one. The one genuine deadline in this topic belongs to Mac users on the legacy client. Everyone else is choosing.
Legacy Outlook for Mac stops working in October 2026
What follows you, and what stays behind#
Almost everything you think of as your email is server-side, and server-side things appear in any client you connect. What stays behind is the layer Outlook built on top over twenty years. Read the third column as your to-do list.

The exception: mail that only exists on your machine#
One case needs a caveat. If your account was set up as POP, or a rule has been filing mail into a local archive for years, some of that mail is genuinely not on the server, and no client you connect will find it.
Check before you plan. In classic Outlook for Windows, File, then Account Settings, then Data Files lists every PST and its path. On Mac, an OLM file is an export, not a live mailbox.
The fix that works with any client is to put that mail back on the server: create a folder in your online mailbox and drag the archive contents into it from Outlook, in batches.
Before you connect anything: a 30-minute checklist#
Half an hour with Outlook still open saves an unpleasant week. You are capturing things that exist only on this machine, in a form you can retype anywhere.

Check a third-party client is even allowed
Admins can disable IMAP per mailbox and can require approval before a new app gets consent to your data. Ask first. This is the most common reason a switch stalls on day one.

Export your rules and mark the client-only ones
In classic Outlook, Manage Rules and Alerts, Options, Export Rules writes an RWZ file no other client reads, so the screenshot is the useful artefact. The list marks client-only rules as running on this computer only.

Copy your signatures and Quick Steps
On Windows, paste %APPDATA%\Microsoft\Signatures into Explorer and copy the folder. Write down each Quick Step and how often you use it. Most people find two of eight are load-bearing.

Back up every archive, and list your add-ins
Copy PST and OLM files somewhere safe, and never delete one during a switch. Then list your COM add-ins under File, Options, Add-ins. That list is your blocker list.
How to switch without downtime#
Do this on an ordinary working day with Outlook still installed, not on a Friday night.

Add the account with OAuth, never a password
A current client signs you in on Microsoft's own consent screen. If it asks you to type your Microsoft password into its own form, stop. Basic authentication ended for personal Outlook.com accounts on 16 September 2024, and years earlier for Exchange Online.

Let the first sync finish before judging anything
Clients differ in how much history they pull down initially. Compare the folder count against Outlook, then open something from three years ago rather than only checking the inbox.

Rebuild rules server-side where you can
Work from your screenshot. A rule expressed server-side in Outlook on the web then applies in every client you ever use, including Outlook. That is a permanent upgrade, not a chore.

Paste the signature back and send two tests
One to yourself, one to a colleague on another provider. Check images render and links work. Signature images are the most common breakage, and nobody notices for a month.

Change the default mail client last
Repoint mailto links only once everything above has passed. Until then other apps keep opening Outlook, which is exactly what you want while you are still deciding.

Your rollback plan#
Outlook and a new client can both be connected to the same mailbox indefinitely. They read the same server, so reads, moves and deletions appear in both within seconds. Give it thirty days, add the account on your phone in the first week, and let the gaps announce themselves.
Rolling back is not a project. Open Outlook and everything is there, because it was always on the server. The only losses are things you deleted locally during the trial, which is why the checklist says to keep the archives.
Do not let both clients automate the same mailbox
Which client to switch to#
Four are worth your time, and they suit different people. Ours is first because this is our site, and the disclosure is below the table.

Our limits, stated once. The desktop apps are real downloads, but they are an Electron shell around the web app, so they will not match a native binary on memory footprint or deep OS integration. macOS is Apple Silicon only and not in the Mac App Store, there is no Linux build, Android is a PWA with a native app on the roadmap, and there is no watchOS app. Offline is partial by design: read and draft offline, but this is not a complete local archive the way classic Outlook's OST is.
Where another client fits better#
If you want Outlook's shape back, with mail, calendar, contacts and tasks in one window and proper offline, eM Client is a closer match than we are, and it opens PST files directly. That is a genuine concession: we change how you work, eM Client restores how you already worked.
On Linux the answer is Thunderbird, because we have no Linux build at all. It connects a Microsoft 365 mailbox over IMAP with modern OAuth and keeps mail locally. What you trade is polish and support.
Mac-only readers leaving legacy Outlook before October 2026 should try Apple Mail first. It is already installed, it adds a Microsoft account through System Settings, and for one mailbox it is often enough.
Who should stay on Outlook#
Some readers should close this tab. Outside the Mac case there is no clock running.
- You depend on a COM or VSTO add-in, or on VBA macros. Salesforce logging, DocuSign, dictation: that code runs inside classic Outlook on Windows and nowhere else, including new Outlook. There is no import path.
- You work out of PST archives daily. If opening ten-year-old local mail is part of the job, stay on Outlook or move to eM Client, which reads PST files directly.
- You use Exchange-native features only Outlook exposes: public folders, voting buttons, custom forms, and granting mail-folder delegate permissions. The last one catches out whole organisations, because calendar delegation already works in new Outlook and mail-folder delegation does not.
- You are offline for long stretches. A complete local archive is a classic Outlook strength, so check any replacement's offline model honestly, including ours.
- Your admin blocks third-party clients. That is a conversation with IT, not a software decision.
The verdict#
If any of those five describe you, stay on Outlook. Nothing here is worth breaking a tool you use every hour, and Microsoft's own support window backs that up.
