Open Gmail on the web. The counter next to Inbox reads 47. The counter next to All Mail reads 128,431. Same account, wildly different numbers, and no obvious reason for the gap.
The short answer to Gmail All Mail vs Inbox is that All Mail is Gmail's actual store and Inbox is a label attached to a subset of the messages already inside it. Every message in your Inbox is also in All Mail. Almost no message in All Mail is in your Inbox. This post explains that model, why the counts never match, what changes when you connect Gmail to a third-party client, and which view you should actually be defaulting to.
The verdict up front#
Gmail does not have folders. It has one store of messages and a system of labels attached to those messages. All Mail is a view over the store — every non-deleted, non-spam message you have ever received or sent, in one place. Inbox is one of the labels Gmail applies.
When a new message arrives, Gmail attaches the Inbox label. When you archive it, Gmail removes the Inbox label. The message never moves. It sat in All Mail the whole time, and it sits there still.
Once you hold that model, most Gmail quirks fall out of it — the count mismatch, the duplicates that show up in IMAP clients, the "where did my archived message go" panic, the archive-versus-delete difference. Everything else in this post is a restatement of that one fact from a different angle.

Where All Mail is the right view#
All Mail is the source of truth for the account. If a message ever existed and you did not send it to Trash or Spam, it is in there. That makes it the right view for four specific jobs.
Search. Gmail's search reaches every label, so a query effectively hits All Mail by default. When you cannot find a message in Inbox, the answer is almost always that it is in All Mail with the Inbox label removed — not that it is missing.
Recovery. Archiving in Gmail is not moving; it is just removing the Inbox label. Archived mail is never gone. Open All Mail and every message you have archived is there, in the order it arrived, with whatever other labels it still carries.
Auditing. All Mail is the closest Gmail comes to a chronological log of the account. Sort by date and you can see everything that ever came in or went out, along with the labels each message currently holds.
IMAP archive. For a third-party client, [Gmail]/All Mail is the single mailbox that guarantees the whole message store. Point the client's Archive role at it and the client's archive behavior matches Gmail's — because it is Gmail's.
Where the Inbox is the right view#
The Inbox is not the store; it is a filter over the store, and the filter is "messages I have not decided about yet." That is a narrow and useful job. Inbox and All Mail are not competing for the same role.
Attention. Inbox is what your phone notifies you about, what your unread badge counts, and what your keyboard shortcuts land on first. If every message ever received sat in Inbox forever, the counter would mean nothing.
Triage. The Inbox is an action queue. A message is in it until you archive it, snooze it, or trash it. Archiving is a decision, not a save — Gmail records the decision by removing the label, and the message then joins the rest of All Mail.
Boundaries. Every filter you write in Gmail's own rules can be phrased as "skip the Inbox" — which means "do not apply the Inbox label in the first place." Newsletters that skip the Inbox still land in All Mail; you just do not see them at the top of the day.
A message belongs in both views to start, then in only All Mail after you archive it, then in All Mail plus Trash for about 30 days if you delete it, then nowhere.
Why the counts almost never match#
The counters look like they should add up. They do not, because they are measuring different sets. Here is what each one actually shows.

The Inbox count is always a subset of the All Mail count. The gap between them is roughly every message you have ever archived, plus every message you have ever sent — because sent mail is in All Mail by default and was never in Inbox to begin with.
Sent mail is the piece people miss. Every message you have ever sent lives in [Gmail]/Sent Mail, which is a label, and All Mail includes it. On a five-year-old account, sent mail alone can account for tens of thousands of the messages in the gap.
What All Mail looks like over IMAP#
Connect Gmail to Apple Mail, Thunderbird, or Outlook and All Mail changes shape but not substance. It appears as a folder named [Gmail]/All Mail, or a localized equivalent on a non-English account. Google tags the folder with the \All IMAP special-use flag defined by RFC 6154 — a signal to well-built clients that this mailbox "presents all messages in the user's message store."
Because IMAP only understands folders, every one of your Gmail labels also appears as a folder. A message with Inbox plus a Work label plus a Receipts label shows up in three separate folders — Inbox, Work, Receipts — and also in All Mail. Nothing is duplicated on Google's servers. Your client is looking at a single stored message through four folder views.
Clients that respect the special-use flag find All Mail on any account, because \All is language-independent — the folder might be named [Google Mail]/All Mail or the localized string, and the flag still points at the same mailbox. Clients that hard-code the English name break on non-English accounts.
Deleting from All Mail is the real delete
What happens when you do nothing#
Gmail applies automatic retention to only two labels: Trash and Spam. Everything else stays until you act on it. Do nothing to a message and it lives in All Mail forever, whether or not it also carries the Inbox label.
- Trash empties automatically after about 30 days
- Spam empties automatically after about 30 days
- Every other label, including Inbox and any label you created, retains until you archive or delete manually
- All Mail retains everything except deleted and spam messages, regardless of any other label state
That last point matters more than it sounds. Inbox is not a queue that Gmail drains for you — messages you never open sit in it until you address them, and All Mail keeps them alongside. The only automatic cleanup you get is Trash and Spam expiring, which is why storage bloat sneaks up on long-lived Gmail accounts.

Should you hide the All Mail label?#
You can, and for some workflows it helps. In Gmail on the web, open Settings, See all settings, Labels tab. Every system label including All Mail has a Show in message list option — hide it and All Mail no longer appears in your sidebar. It stays reachable by search and it stays exposed to IMAP; you have just hidden the shortcut.
The case for hiding it is calm — the sidebar gets shorter and less busy. The case against is that All Mail is the safety net for every archived message, and hiding the direct link makes it harder to remember it exists when you need it.

Open label settings
Gmail on the web, Settings (gear icon), See all settings, then the Labels tab. This is the same tab that controls whether each label appears in IMAP.

The system labels sit at the top: Inbox, Starred, Snoozed, Important, Chats, Sent, Scheduled, Drafts, All Mail, Spam, Trash, Categories. Each has a Show in message list column.

Hide it — or keep it and hide the noise instead
Click Hide next to All Mail to remove it from the sidebar. Alternatively, keep All Mail visible and hide the labels you never open — that reduces sidebar length without removing your archive shortcut.

Verify search still finds archived mail
Search from the top bar for a term you know is in an archived thread. Results include messages that are in All Mail with the Inbox label removed. Hiding the sidebar entry does not change what search reaches.
All Mail vs Archive — a name-clash that trips people up#
In most email clients, an Archive folder is a separate physical folder that a message moves into. In Gmail, archive is not a folder — it is an action, and the action is "remove the Inbox label." The message stays in All Mail because it was already in All Mail before you clicked archive.

This name-clash is why users switching from Outlook or Apple Mail assume archived mail has vanished. It has not — it just no longer carries the Inbox label, which is the only label most clients render as an obvious sidebar entry. Open [Gmail]/All Mail and it is all there.
Who each view is genuinely for#
Neither view is wrong — both are for you. The question is which one you should default to when the sidebar first opens, and it depends on how you actually work.
Default to Inbox when... you want the shortest possible list, notifications matter, and archiving is a real action you take several times a day. This is the design intent — Inbox is the current work, All Mail is where finished work goes. If you archive as you go, the Inbox view earns its keep every day.
Default to All Mail when... you search more than you triage, you want a chronological view of the account, or you are using a third-party client that renders every label as a duplicate folder. All Mail is one honest mailbox; the label folders are often noise in that setup.
Never rely on either alone. All Mail without Inbox is a river of mail with no queue. Inbox without All Mail is an anxious view of a small subset. The two views are complements, not alternatives — one for now, one for ever.
A third position: a client-side triage layer#
The controls above work, and on a single Gmail account with a modest label set they are usually all you need. The friction shows up in two places — running several accounts at once, or connecting Gmail through a client that turns every label into a folder and makes one message look like three.
