How to Stop iPhone Mail Grouping Emails by Sender

If you updated to iOS 18.2 or later, you may have noticed something unexpected in iPhone Mail: several emails from the same sender are collapsed into one row, showing only the most recent message and a count of how many others are stacked behind it. It reads like missing mail to anyone who has not seen the change. Searches for how to stop iPhone Mail grouping emails by sender climbed sharply after the feature shipped, because nothing in the iOS release notes warned users the inbox layout would change.

The behavior is called Group by Sender, and it is part of the new Mail Categories system Apple introduced in iOS 18.2. It is on by default, and the toggle is not where most people look for it — it is buried inside each category view, not in the main Settings app.

This guide explains exactly what Group by Sender does, where the toggle actually is, how to disable it for one category or all three, and what to check when the steps do not seem to work.

The short answer#

Group by Sender only runs inside three of the four category tabs that iOS 18.2 added to Mail: Transactions, Updates, and Promotions. It does not affect the Primary tab, where personal messages show individually as they always have. Inside those three tabs, Mail stacks all emails from the same sender into one digest row. The row shows the sender name, a preview of the most recent message, and a count of how many earlier messages are hidden beneath it.

The emails are not gone. They are grouped. You can swipe down on a collapsed sender row to reveal the earlier messages from that sender within the same category view, or you can turn the grouping off entirely so every email gets its own line. To turn it off: open a category tab, tap the three-dot menu at the top right, and deselect Group by Sender. Because the setting is per-category, you must do this separately for each tab where you want individual rows.

If you want to go further and remove the category tabs entirely, there is a separate option. From the main inbox view — before tapping into any category — open the three-dot menu and tap List View. That puts all mail in one flat chronological list with no tabs and no grouping at all. Tap the three-dot menu again and choose Categories to restore the tabs later.

Before you start#

Check your iOS version before you look for the toggle. Group by Sender is a feature of iOS 18.2 and later. If you are on iOS 17 or below, your inbox is not using this feature, and the collapsed view you are seeing is coming from conversation threading instead. Conversation threading is a different setting, controlled at Settings, then Apps, then Mail, then Organize by Thread.

Also confirm which tab you are viewing. If you are in the Primary tab and the inbox seems to show only a few senders, scroll down — Primary displays every message individually, and what you expected to find is probably just below the visible rows. Group by Sender only applies to Transactions, Updates, and Promotions. If Primary is where you are looking, the steps in this guide are not what you need.

How to stop iPhone Mail grouping emails by sender#

The Group by Sender toggle lives inside each category view, accessed through the three-dot menu at the top right of that view. The steps below cover one category — repeat the same sequence for each of Transactions, Updates, and Promotions where you want individual rows.

   Open Mail and tap a category tab

   Open the Mail app and look for the row of category tabs below the inbox header: Primary, Transactions, Updates, and Promotions. Tap the tab you want to change — start with Transactions if you are not sure which one is showing the grouping. If you do not see any category tabs, either Categories has already been turned off on your device or you are viewing a specific mailbox rather than the main inbox. Return to the main inbox by tapping the back arrow at the top left.

   In the top-right corner of the category view, tap the small three-dot button. A short menu drops down. The options you see here are specific to the category you are in, not to the whole inbox. Group by Sender should appear in this menu with a checkmark next to it, indicating it is currently active.

   Tap Group by Sender to turn it off

   Tap Group by Sender. The checkmark disappears and the category view immediately refreshes to show every email as its own separate row. If you had many emails in that category, the list will become noticeably longer because each message that was previously stacked now appears on its own line.

   Go back to the inbox, tap the next category tab, open the three-dot menu again, and deselect Group by Sender there too. The setting is per-category, so you need to disable it once inside Transactions, once inside Updates, and once inside Promotions to ungroup all three. There is no single toggle that changes all categories at the same time.

   Optional: switch to List View to remove category tabs entirely

   If you want one flat chronological inbox with no category tabs at all, return to the main inbox view — the level above the category tabs — then open the three-dot menu from there and tap List View. All mail collapses into a single list sorted by arrival time. To restore the tabs later, open that same top-level three-dot menu and choose Categories.

Platform and version differences#

Group by Sender is specific to iPhone and iPad running iOS or iPadOS 18.2 and later. It does not exist on older iOS versions, and the Mac version of Apple Mail works on a completely different model. What to do when it still shows grouped rows#

Most users disable Group by Sender and the inbox updates to individual rows immediately. If yours still shows collapsed sender stacks after following the steps, work through these checks before assuming something is broken.

First, confirm you opened the three-dot menu from inside a category, not from the main inbox level. The menu shows different options depending on where you are. From the main inbox level — before you tap any category tab — you see inbox-wide options like List View and Customize. From inside a category — after you have tapped the tab and the category email list is on screen — you see the per-category options including Group by Sender. If you toggled something from the main inbox level, you changed the wrong setting and need to go back into each category to find the right one.

Second, check every category tab you care about. Because the setting is per-category, turning off Group by Sender in Transactions does nothing to Updates or Promotions. If grouped rows still appear in one tab after you changed another, that remaining tab still has its own toggle set to on. Open it, tap the three-dot menu, and deselect Group by Sender there too.

Third, if the setting does not appear to stick — it seems to revert after you leave the app and return — force-close Mail and reopen it. Swipe up from the bottom edge of the screen to open the app switcher (or double-press the Home button on older iPhones), find Mail, swipe it away, then tap the Mail icon to reopen. On a small number of devices running early iOS 18.2 builds, a restart of the app was required before the preference saved reliably.
