Cached Exchange mode Outlook settings decide whether your mailbox lives only on Microsoft's servers or also as a local file on your own machine. Cached Exchange Mode is on by default for every Exchange and Microsoft 365 account in classic Outlook for Windows: Outlook keeps a working copy of your mail in an offline data file (OST) on disk, updates it in the background while you're connected, and lets you keep reading and drafting the instant the network drops.
The setting most people are actually searching for is the Mail to Keep Offline slider, because it's the one control that visibly changes how much space your inbox takes on disk and how far back you can search with no connection at all. Push it toward All on a laptop with a small SSD, and the local file can grow well past what Exchange reports as your real mailbox size. Shared and delegated mailboxes get cached under their own setting, and — this is the part that trips people up — new Outlook doesn't expose Cached Exchange Mode, or that slider, at all.
How does Cached Exchange Mode actually work?#
Turn Cached Exchange Mode on and Outlook stops treating the server as the only source of truth. It builds a local mirror of your mailbox and the Offline Address Book in an OST file, then keeps that mirror current with a background sync engine any time you're connected. Go offline, and Outlook simply keeps reading from and writing to that same local file — drafts you write offline queue up and send automatically the next time you reconnect.
You also get to choose how items arrive during that sync, through Outlook's download preference. Download full items pulls the whole message and any attachments as it syncs, which Microsoft recommends unless your connection is genuinely slow. Download headers then full items shows headers first and fills in bodies behind them. Download only headers is for dial-up-grade or metered connections, and Outlook can switch into it automatically the moment it detects a slow network adapter — roughly 128 KB or below — even if you never asked it to.
The first time Cached Exchange Mode has to build that local file — a brand-new profile, a new machine, or a rebuilt OST after a corruption — Outlook pulls your entire synchronization window from the server before anything feels normal, and a large mailbox on a wide window can take hours over an ordinary connection. That first build is where the Mail to Keep Offline setting has the biggest visible effect: a shorter window means a shorter wait before the mailbox is usable again.
This is also why Cached Exchange Mode has been Microsoft's default and recommended setting for Exchange and Microsoft 365 accounts for years, not just a convenience toggle. One exception worth knowing about: a computer running Remote Desktop Services with several people logging into it starts new Exchange accounts in Online Mode by default, precisely because Cached Exchange Mode multiplies its local storage and background sync load once several users are sharing the same machine.
What gets cached automatically, once Cached Exchange Mode is on:
- Your own mailbox — every folder, kept in sync in the background.
- Shared mailboxes and folders someone has delegated to you, the moment you open them — if Download shared folders is enabled.
- Public folder favorites, if Download Public Folder Favorites is enabled.

What does the Mail to Keep Offline slider actually control?#
The slider lives in classic Outlook under File → Account Settings → Account Settings, then double-click your account — it sits directly beneath the Use Cached Exchange Mode checkbox in the pane that opens. Drag it anywhere from a few days up to All, and Outlook rebuilds the local sync window to match. Out of the box, Outlook caches the last 12 months of mail and drops anything older from the local file; that default depends on the device, and mobile devices start with a smaller window than desktops.
Mail that ages out of the window isn't deleted — it's still sitting on the server exactly as before. You'll see it at the bottom of a long message list as a link to view more on Microsoft Exchange, and clicking it fetches those older messages live. An administrator can also set or enforce this age centrally, through the Cached Exchange Mode Sync Settings policy, so if your slider looks locked or grayed out, that's IT policy, not a bug.
The reason the setting matters more than it looks is disk space. Because the local OST format is less space-efficient than Exchange's own storage, a fully cached mailbox typically runs 50 to 80 percent larger on disk than the mailbox size Exchange reports — and the default maximum OST size is 50 GB, configurable but real. All of that space has to come from somewhere on the machine that's actually doing the syncing, and organizations with genuinely large mailboxes usually raise that ceiling deliberately rather than let a full OST start rejecting new mail.

All is not a free option
Cached Exchange Mode vs Online Mode: what's the difference?#
Online Mode is the other half of the pair, and it's simpler to describe: Outlook reads and writes directly against the server, keeps nothing but a short-lived memory cache, and needs a live connection for essentially everything. Microsoft names three situations where Cached Exchange Mode helps most: connections that come and go, work that regularly happens offline, and links with more than 500 milliseconds of latency to the Exchange server — exactly the profile of someone working from a hotel, a client site, or a different continent from company servers. Online Mode exists for the opposite cases: a kiosk shared by many people, a compliance environment where nothing should sit on local disk, or a mailbox too large for the drive in front of it. For nearly everyone else, Cached Exchange Mode is both the default and the one Microsoft recommends.

Notice the delayed-delivery row, because it catches people who've never had a reason to think about it: in Cached Exchange Mode, a scheduled send is a client-side timer, so Outlook has to be open and connected at the moment the message is due to go out, or it waits until it next is. In Online Mode, the server holds and fires it regardless of whether your Outlook is running. And even inside Cached Exchange Mode, a short list of actions always needs the live server anyway — working with shared folders that were never made available offline, checking free/busy, setting an Out of Office message, editing rules, or opening a rights-protected message. The local copy speeds up reading; it doesn't remove the network entirely.

Common misconceptions about Cached Exchange Mode#
A few beliefs about this setting are common enough to be worth correcting directly.
- "Setting the slider to All recovers old mail I'm missing." It doesn't need recovering — mail outside your window was never deleted, only left on the server. Widening the slider or clicking view more on Microsoft Exchange gets you the same messages either way.
- "Turning Cached Exchange Mode off makes Outlook faster." On anything but a fast, low-latency connection, it's usually the opposite: Online Mode round-trips to the server for actions Cached Exchange Mode would have served from the local file in milliseconds.
- "Shared mailboxes just follow my own slider setting." Since Outlook 2016, shared and delegated mailboxes sync under their own window, separate from your primary mailbox, and you can turn off Download shared folders so opening one doesn't quietly start caching it at all.
- "New Outlook has the same slider somewhere, just renamed." It doesn't. New Outlook for Windows doesn't build a traditional OST file you can point a slider at — offline access is a single on/off toggle under Settings → General → Offline, with no months-based window to choose. Cached Exchange Mode, in the sense this article describes, is a classic-Outlook-only concept.
- "This only matters for huge mailboxes." Even a modest mailbox on a modest laptop feels the difference the first time a profile has to rebuild its OST from scratch — a fresh cache, a new machine, or a corrupted file all trigger a full resync, and the size of that resync is set entirely by where your slider sits.
- "OST and PST are basically the same file." They're not. The OST is Cached Exchange Mode's own working copy of a live Exchange or Microsoft 365 mailbox and is useless without that account behind it; a PST is a portable, self-contained archive you can move between machines or import elsewhere. Shrinking the Mail to Keep Offline slider trims the OST — it doesn't touch a PST at all.
