That was the appeal and it was also the limitation. A sentence is fast to write and hard to debug. When a message was labelled wrongly there was rarely a clear reason to point at, only a judgement you disagreed with.

The dimension where it beats us outright is continuity. The code is public and you can self-host it, which means no acquisition, strategy change or shutdown notice can take it away from you. For someone who has just been burned by exactly that, this matters more than any feature comparison, and we cannot match it — AI Emaily is a hosted product and always will be.

The trade-offs are the usual open-source ones. Self-hosting means you run the infrastructure, hold your own model keys and own the upgrades; the managed version removes that but puts you back in the same vendor-trust position as everything else here. Provider coverage is Gmail-centred, so verify current Outlook and IMAP support on the project's own pages before you plan around it.

Where is the log of what it moved and why? Can I undo a batch of labels in one action, not one message at a time? And does anything the agent writes go out before I approve it? Ask us the same three. Fyxer is an overlay, not a client. The way you get rules is different, though. Rather than an instruction box, the vendor's model is that it learns your preferences and adapts as you correct its triage. That suits people who found writing rules a chore and would rather demonstrate than describe. It suits people with precise, non-negotiable routing much less well.

One structural detail to check before you commit: Fyxer meters incoming email volume and charges for overage. That lands hardest on high-volume inboxes, which are the ones that most need automatic sorting in the first place. Model your actual monthly receipt volume against the current terms on Fyxer's own pricing page, and confirm exactly how much of the categorisation you can direct rather than only correct.

Shortwave: bundles instead of instructions#

Shortwave is an AI-native Gmail client and the closest like-for-like replacement for Notion Mail as an interface. Its organising idea is bundling — related mail grouped automatically so the inbox arrives pre-sorted — plus an assistant you can ask to find and act on things. Its semantic search is genuinely the best thing about it.

For this specific job, though, the fit is looser. Bundling is a taxonomy the product largely decides, not a set of instructions you author, so if what you miss is writing "label anything mentioning our Q4 launch" and watching it stick, confirm the current rule-authoring surface on Shortwave's own site before assuming it is there.

Two further constraints. It is Gmail and Google Workspace only, so an Outlook or IMAP account stays outside it entirely. And as of July 2026 its free plan has narrowed while the founding team's public focus has moved toward a separate agent product — not a shutdown, and not a prediction, but a signal worth weighing when you are choosing a replacement for something that just shut down.

Serif and Cora: delegate the sorting entirely#

These two answer a different reader — the one whose attachment was to the outcome, not the instructions. If you liked that the inbox organised itself and never cared how, handing the taxonomy over is a shorter path than rebuilding rules.

Serif positions harder on autonomy than anything else here: the pitch is an assistant that acts rather than proposes. Before signing up, confirm on Serif's own site whether it runs as its own inbox or attaches to an existing one, and which providers it supports today — that single fact decides how much changes on day one.

Cora is digest-led. It triages what arrives, holds the noise back and hands you a brief of what needs a human, so the sorting happens but you experience it as a shorter list rather than a labelled inbox. You give up the instruction box in exchange, and the app you open is still your existing one.

The risk with both is the same and it is worth naming. A tool that chooses the taxonomy is excellent until it is wrong about something that mattered, and by then the message is already filed or held. Ask each one where the record of held-back mail lives, how far back you can review it, and whether one action restores a batch. Check current provider support directly too — neither publishes a coverage list that stays accurate for long.

Superhuman Mail and plain Gmail: the structured options#

First the naming, because most published reviews predate it: Grammarly acquired Superhuman, the email client, in July 2025 and renamed the parent company to Superhuman in October 2025. "Superhuman Mail" is the client; "Superhuman Suite" is the wider bundle. AI capability moved into a higher tier after the acquisition, so check which tier holds the features you are comparing.

Its sorting model is Split Inbox — you define splits by query and mail lands in them. That is closer to a fast, precise filter than to an AI instruction, which suits people who process high volume by keyboard and want certainty over interpretation.

Gmail's own filters are the free floor, and they are better than people leaving an AI client expect. Conditions cover sender, recipient, subject, words present or absent, size and attachments; actions cover labelling, archiving, starring, forwarding and categorising; and they run on arrival, every time, at no cost per message. What they cannot do is judge meaning — "anything that reads like a sales pitch" is not expressible as a keyword test, and that is precisely the gap the AI tools on this page exist to fill.

Open your exported rule list and treat each line as a specification. Most Notion Mail instructions decompose into a hard fact plus a judgement, and the trick is to route each part to the mechanism that handles it best — the literal part to a cheap condition, the fuzzy part to a semantic one.

That split is also how you keep model costs down. A rule that first narrows to messages carrying a List-Unsubscribe header and only then asks a model to judge the remainder is doing far less work than one that asks a model about every message that arrives.

Rebuild in this order#

Do not retype forty rules on day one. Half of a mature rule set is dead weight built for a problem that resolved months ago, and a shutdown is a good excuse to find out which half.

Nothing imports your instructions, so pick on how quickly you can rewrite them and how easily you can tell what they did.
