Notion Mail vs Shortwave: Where to Move Before the Shutdown

Notion Mail shuts down on 22 September 2026, and anything stored only inside the app is deleted the day before. So if you are weighing a Notion Mail alternative and wondering whether Shortwave is where you land after the shutdown, this is not a live either-or. One option has an end date, and the only real question is where you go next.

That reframes the comparison: what matters is which parts of your Notion Mail setup survive the move, and what Shortwave does better than the thing you are losing.

Straight answer: Shortwave is a genuinely strong AI Gmail client and the most natural destination for most people leaving Notion Mail. Whether it is the right end point comes down to one fact about you — whether every account you care about is Gmail.

The verdict up front#

If your working life is entirely inside Gmail or Google Workspace, Shortwave is the closest thing to what you are losing. It is an AI-native client on the same mailbox, built by engineers who came out of Google, and it replaces the interface rather than sitting on top of it — the same architecture Notion Mail used.

If part of your day happens in Outlook, Microsoft 365 or an IMAP account, Shortwave cannot help with that part. It connects through the Gmail API by design, and as of July 2026 there is no Outlook or IMAP support.

The two dates, and what gets deleted#

Notion opened the export window on 25 June 2026. The last day to save anything is 21 September 2026, and the app stops working on 22 September. Notion states that data you have not saved by then is permanently deleted.

Your email is not at risk. Notion Mail synced two ways with Gmail, so every message you sent or received also exists in your Gmail mailbox and stays there. What disappears is the layer on top: drafts, scheduled emails, snippets, auto-label instructions, reminders and your custom inbox organisation.

Export before you start trialling clients. Choosing an inbox takes longer than anyone plans for, and the deletion date does not move.

Notion Mail views vs Shortwave labels: what transfers#

Nothing migrates automatically between these two products. There is no shared format and no importer on either side, so what you are really doing is rebuilding a configuration. The table below is the checklist for it.

Where Shortwave wins#

Search is the honest headline. Shortwave's AI search is semantic rather than keyword-based, so you can describe a thread instead of guessing the words in it, and it reaches into attachments as well as message bodies. For anyone with a deep archive, that is the single feature most likely to justify the switch on its own.

Platform coverage is the second win: desktop apps for Mac and Windows, native apps for iOS and Android. Bulk triage through bundles — grouping newsletters and promotions so you clear a category rather than a list — fits a busy Gmail inbox better than a view-by-view setup does.

It is also credible on data handling. Shortwave states that customer data is never used to train third-party LLMs, that most of its AI workloads run on open-source models on hardware it controls, and that data sits encrypted in Google Cloud. Plenty of tools in this category cannot answer that question at all.

Where you will miss Notion Mail#

Notion Mail's best idea was letting you describe a slice of the inbox in plain language and having the app maintain it. Shortwave's model is labels and bundles, which is a grouping system rather than a view system. It is powerful, and it takes about a week to stop fighting.

The second loss is smaller and more annoying: nothing you wrote carries over. Snippets, instructions, views and reminders all get retyped. Budget an hour, and drop the rules you stopped needing.

Pricing: compare the model, not the number#

There are no competitor prices in this post, and you should be sceptical of comparison articles that publish them. Plans in this category were repackaged more than once in the past year — free tiers narrowed, and AI capability moved between paid tiers.

The shape is what is worth comparing. Notion Mail was a feature of a larger workspace subscription, which is the position products get cut from. Shortwave sells email as its own product, with a free plan and paid tiers above it.

The continuity question, stated fairly#

You have just been burned by a discontinued email client, so it is fair to ask whether the next one lasts. Two things as of July 2026: Shortwave's free plan narrowed, and the founding team's public focus moved toward a separate agent product.

That is not a shutdown, and predicting one from those signals would be dishonest. The product ships, it is actively developed, and email is the company's core business rather than a side feature of a larger suite — which is more than Notion Mail could say.

For a Gmail-only reader, Shortwave is the strongest destination on this page, and the search alone will probably make the move feel like an upgrade. For a reader split across Gmail and Outlook or IMAP, a Gmail-only client cannot close that gap.
