Connect Gmail / Google Workspace

Connect a Gmail or Google Workspace account to AI Emaily with one-click Google sign-in, or with an app password over IMAP.

You can add a Gmail or Google Workspace mailbox in two ways. The Gmail tab uses Google sign-in and is the recommended path; the IMAP tab uses a 16-character app password if you prefer not to use Google sign-in.

Before you start

Open the Add mailbox dialog in AI Emaily. You will see three tabs: Gmail, Outlook, and IMAP. Gmail is the right choice for both personal Gmail and Google Workspace accounts.

If you use the IMAP path instead of Google sign-in, you need a Google app password, not your normal Google login password. App passwords require 2-Step Verification to be turned on.

Paste an app password, not your login password

On the IMAP tab, enter a 16-character Google app password, never your normal Google account password. AI Emaily envelope-encrypts every credential at rest and decrypts it only inside an isolated sync worker. Your password is never logged or sent to the browser.

Connect with Google sign-in (recommended)

    Open the Gmail tab

    In the Add mailbox dialog, select the Gmail tab.

    Start Google sign-in

    Click Connect with Google. A Google window opens.

    Choose your account

    Pick the Gmail or Google Workspace account you want to add, then sign in if prompted.

    Grant access

    Review the requested permissions and approve them so AI Emaily can read and send mail for that account.

    Finish

    Google returns you to AI Emaily. The mailbox appears and the first sync begins automatically. No host, port, or password entry is needed with this path.

Create an app password

Use this path only if you prefer not to use Google sign-in. The app password lets AI Emaily connect over IMAP.

    Turn on 2-Step Verification

    Go to your Google Account security settings and enable 2-Step Verification. App passwords are only available once it is on.

    Open the app passwords page

    Visit myaccount.google.com/apppasswords and sign in if asked.

    Generate a password

    Create a new app password and give it a name such as AI Emaily. Google shows a 16-character password.

    Copy the password

    Copy the 16-character value. You will paste it into AI Emaily next. You will not be able to see it again after you close the page.

    Enable IMAP in Gmail

    In Gmail, go to Settings, then Forwarding and POP/IMAP, and turn on Enable IMAP. On Google Workspace, an admin must allow IMAP for your account first.

Add it to AI Emaily (IMAP tab)

    Open the IMAP tab

    In the Add mailbox dialog, select the IMAP tab.

    Enter your email address

    Type your full Gmail or Google Workspace address.

    Paste the app password

    Paste the 16-character app password into the password field. Do not use your normal Google login password.

    Confirm server settings

    Use the values in the Server settings table below for the IMAP and SMTP hosts and ports if they are not filled in for you.

    Save

    Save the mailbox. AI Emaily verifies the connection before saving. If the test fails, a hint indicates which setting is likely wrong.

Troubleshooting

  • Authentication failed: you likely pasted your normal login password. Use a 16-character app password instead.
  • App password option missing: 2-Step Verification is off. Turn it on in your Google Account security settings, then generate the app password at myaccount.google.com/apppasswords.
  • Login works but no mail syncs: IMAP is not enabled. In Gmail, go to Settings, then Forwarding and POP/IMAP, and turn on Enable IMAP.
  • Google Workspace account cannot connect over IMAP: an admin must allow IMAP for your organization or account.
  • Connection refused or timed out: check the host and port and TLS mode. Use imap.gmail.com on port 993 (SSL) for receiving, and smtp.gmail.com on port 465 (SSL) or 587 (STARTTLS) for sending.
  • Still failing: re-read the hint shown when the connection test fails, since it points to the setting that is most likely wrong.
