Shared inboxes

Share a mailbox with your team — scoped, permissioned, and audited.

Shared inboxes let every team member read and act on threads from a connected mailbox without giving out password credentials. Personal mailboxes stay private by default — sharing is always a deliberate, audited action.

What a shared inbox is

When you connect a mailbox to Aiemaily you own it privately. A shared inbox is an opt-in layer: you grant your team read (and optionally write) access to that mailbox so its threads appear in each member’s sidebar under “Team inboxes.”

Every member sees the same thread list and the same real-time state. When one person marks a thread done or adds a comment, everyone sees it immediately.

Light collaboration — not a helpdesk

Shared inboxes are built for small teams of operators who need visibility, not a ticket-based support tool. There are no SLAs, CSAT scores, or ticket queues. If you need a full customer-support platform, Aiemaily is not the right fit.

Access levels

When you share a mailbox you choose one of two scopes per team member or role.

Sharing a mailbox

    Open mailbox settings

    Go to Settings → Mailboxes, pick the connected account you want to share, and click “Share with team.”

    Add members or a role

    Search for teammates by name or email address. You can also target an entire role (e.g. “Support”) so new members inherit access automatically.

    Set the access level

    Choose Viewer or Collaborator. Owners are mailbox-level and must be set separately under the account credentials panel.

    Confirm

    Click “Share.” An audit entry is created immediately. The mailbox appears in each granted member’s sidebar on their next refresh.

Audit trail

Every sharing change — grant, revoke, access-level edit — is written to the team audit log with the actor, timestamp, and previous value. Owners can export the log from Settings → Audit.

Thread-level actions (reply, delegation, label change) are also attributed to the individual who performed them, never anonymised as “team.”

Personal mailboxes never leak

A mailbox that has not been explicitly shared cannot be seen by any teammate, regardless of their role. There is no “admin override” view of private mail.

Removing access

Revoke access any time from Settings → Mailboxes → Share. The mailbox disappears from the revoked member’s sidebar immediately; any drafts they had open on shared threads are discarded.
