Shared inboxes
Share a mailbox with your team — scoped, permissioned, and audited.
Shared inboxes let your team read and reply on a connected mailbox without ever handling that mailbox’s login or OAuth tokens. An admin shares a mailbox deliberately; the owner’s credentials and private context stay owner-scoped, and every action is attributed.
What a shared inbox is
When you connect a mailbox to AI Emaily you own it privately. A shared inbox is an opt-in layer: an admin shares that mailbox with the team so its threads become readable — and repliable — by members, while the owner’s OAuth tokens and the mailbox’s attached context (its client and voice “brain”) stay owner-scoped and are never exposed to members.
Everyone with access works the same set of threads. Assign a thread, mark it done, or post a comment and it becomes part of the shared state the rest of the team sees.

Team plan and seats
Creating a team requires the Team plan. You add teammates by inviting them by email; each invitee accepts to join, and every active member takes one seat within your plan’s seat count (minimum 3).
Seats are the unit of billing and access — an invited person can’t read a shared mailbox until they accept and occupy a seat.
Roles
Every member has one team role. Roles decide who can administer the team and who can only read or reply.

Sharing a mailbox

Open mailbox settings
As an owner or admin, go to Settings → Mailboxes, pick the connected account you want to share, and choose “Share with team.” Only owners and admins can share or unshare a mailbox.

Confirm the scope
Sharing grants the team read and reply access to that mailbox’s threads. It never exposes the mailbox’s OAuth tokens or its private context — those stay with the owner.

Set per-member access (optional)
By default every member can see every shared mailbox. An admin can restrict a specific member to a chosen subset of shared mailboxes; leaving the restriction empty means that member sees all shared mailboxes.

Done
The shared mailbox becomes available to members with access, and the action is attributed to you. Unshare at any time to remove team access.
The agent drafts as the owner
When a member asks the AI agent to draft a reply on a shared mailbox, the agent drafts as the mailbox owner — in the owner’s voice, using the owner’s client and context brain — so replies stay on-brand no matter who is at the keyboard.
The member still reviews and approves the draft under Copilot before anything sends, but the writing itself reflects the owner, not the member.

Removing access
An owner or admin can unshare a mailbox, remove a member, or tighten a member’s per-mailbox access at any time from Settings → Mailboxes. Once access is removed the mailbox no longer appears for that member. Their earlier actions stay attributed to them in the thread history.
