Connecting mailboxes

Gmail via OAuth, or any IMAP/SMTP account with encrypted credentials.

Aiemaily works with Gmail through a secure OAuth flow and with any standard IMAP/SMTP mailbox — iCloud Mail, Fastmail, Proton Bridge, or your own mail server. Credentials are encrypted at rest and never exposed to the agent or the client.

Before you start

You'll need an active Aiemaily account. If you're connecting Gmail, keep the Google account you want to add open in another tab. For IMAP/SMTP accounts, have your host address, ports, and app password ready.

The number of mailboxes you can add depends on your plan. Existing connections are listed under Settings → Mailboxes.

Credential storage

IMAP/SMTP passwords and OAuth refresh tokens are envelope-encrypted before storage. They are decrypted only inside an isolated server-side worker and are never written to logs or sent to the client.

Connecting a Gmail account

    Open Settings → Mailboxes

    Click the gear icon in the sidebar, then choose Mailboxes from the left rail.

    Click "Add mailbox"

    A provider picker slides open. Select Gmail.

    Authorise with Google

    A pop-up opens the Google OAuth consent screen. Sign in and grant the requested mail scopes. Aiemaily requests only the minimum scopes needed to read, send, and label mail.

    Name the account

    Give the mailbox a display name and pick an accent colour so it's easy to tell apart in the sidebar.

    Let the first sync run

    Aiemaily fetches your recent threads in the background. The inbox is usable within seconds; full history syncs progressively.

Connecting an IMAP/SMTP account

    Open Settings → Mailboxes → Add mailbox

    Select IMAP/SMTP from the provider picker.

    Choose a preset or enter custom settings

    Select a provider from the preset list (iCloud, Fastmail, Proton Bridge, or others) to fill in host and port values automatically, or enter them manually for a custom server.

    Enter your credentials

    Provide the email address and the app password (or account password) for the IMAP user. Most providers require an app-specific password when two-factor authentication is on.

    Test and save

    Aiemaily verifies the connection before saving. If the test fails, a hint indicates which setting is likely wrong.

    Set display options

    Assign a display name, colour, and default send-from address, then save.

Per-mailbox settings

Each connected mailbox has its own settings panel, reachable from Settings → Mailboxes → (select account).

  • Display name and accent colour — shown in the sidebar and thread list.
  • Default send-from address — used when composing from the unified inbox.
  • Signature — per-account HTML or plain-text signature appended to outgoing mail.
  • Agent context — a short note that tells the AI the role or persona for this mailbox (e.g. "work account, formal tone").
  • Sync on/off and auto-sync interval — pause syncing for accounts you rarely use, or set a custom polling interval for IMAP.

Agent context tip

Setting different agent context per mailbox — for example, "personal account, casual" vs. "work account, concise and professional" — lets Aiemaily match tone automatically without extra instructions.
