Onboarding
A short guided setup that tunes AI Emaily to how you work.
When you create an account, AI Emaily walks you through a six-step onboarding. Each step is optional — you can skip and come back later — but completing it gives the agent enough context to feel tuned from the first reply.
The six steps
Onboarding takes around three minutes. You can pause at any step and resume later; progress is saved automatically.
- 1
Your role
Tell AI Emaily who you are — your job title, the kind of email you handle most, and anything that shapes how you communicate. This seeds the agent context that influences every draft.
- 2
Your first mailbox
Connect at least one mailbox to get started. Gmail, Google Workspace, Outlook, and Microsoft 365 connect with one-click sign-in (OAuth); iCloud, Fastmail, and other IMAP accounts connect with an app password. You can add more mailboxes after onboarding.
- 3
Theme and density
Choose light or dark mode and pick a layout density (compact is the default). These preferences sync across devices and can be changed any time in Settings → Appearance.
- 4
Your writing voice
Optionally paste a few example emails you've written. AI Emaily uses them to calibrate tone, length, and phrasing. The more representative the sample, the less editing you'll do on early drafts.
- 5
Your categories
Review the default categories AI Emaily uses to organise your inbox (Inbox, To-do, Waiting, Reference, Archive) and rename or adjust them to match how you think about your mail.
- 6
Starting authority mode
Choose whether AI Emaily starts in Manual (you approve every action), Copilot (one-click approval), or Autopilot (acts within defined limits). You can change this any time in Settings → AI & voice.
Onboarding is just a head start
What onboarding configures
| Step | Where it lives after onboarding | Editable later? |
|---|---|---|
| Your role | Settings → AI & voice → Agent context | Yes |
| First mailbox | Settings → Mailboxes | Yes — add, edit, or remove |
| Theme and density | Settings → Appearance | Yes |
| Writing voice | Settings → AI & voice → Voice sample | Yes |
| Categories | Settings → Categories | Yes |
| Authority mode | Settings → AI & voice → Default authority | Yes |
Skipping or restarting onboarding
You can skip onboarding entirely from the first screen. The app is fully functional without it — you'll just be starting with default settings rather than tuned ones.
There is no button to re-run the wizard, but every setting it configures is available individually in Settings. If you skipped voice setup, go to Settings → AI & voice → Voice sample.
